Position: Manager Sponsored Programs, Sponsored Programs Administration

Location: Boston, MA

Schedule: 40 hours per week, Remote

POSITION SUMMARY:

Serve as the main resource for Sponsored Programs Administration (SPA) staff, Principal Investigators, Department Staff, and sponsors for all issues related to sponsored programs administration. Assume overall responsibility for daily processing of all proposal submissions, pre-award tasks, agreement negotiations, project setup, and non-financial post -award tasks within SPA. Provides direct supervision of SPA staff. Assist the Director of SPA with specific projects related to sponsored programs activity, and the promotion of research at Boston Medical Center.

JOB RESPONSIBILITIES


  • Supervises Sponsored Programs Administration staff, including training, delegating tasks, overseeing daily activities, mentoring, guiding through demonstration of best practices and offering opportunities for professional development.
  • Working with the Director, prepares performance evaluations and submits timesheets. Responsible for hiring, disciplining, and processing terminations in accordance with established polices.
  • Maintains expertise on sponsored programs administration matters, and communicates new information and relevant changes to SPA staff and SPA customers.
  • Manages the overall proposal submission process to ensure that submissions are in compliance with sponsor and institutional policies.


  • Oversees the day-to-day workflow of agreement execution, project setup and non- financial post-award activities by mentoring and supporting SPA staff.
  • Ensures that all compliance documentation (FCOI, IRB, IACUC etc) associated with new applications and non-competing reports are maintained in BMC's grant management system.
  • Oversees institutional registrations and renewals to sponsor databases and portals. Supports Team Lead(s) with initiating and maintaining institutional access.
  • Supervises the overcall maintenance of grants' data quality to ensure data integrity in BMC's InfoEd grants management system. Devises and delivers sponsored programs related trainings, as well as system trainings.

JOB REQUIREMENTS

EDUCATION:


  • Bachelor's degree required.
  • Master's degree preferred.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • Certified Research Administrator (CRA) is highly preferred.

EXPERIENCE:


  • Minimum of five years of experience in sponsored programs administration
  • At least two years in a supervisory role.

KNOWLEDGE AND SKILLS:


  • Experience with grant management systems (e.g. InfoEd) and sponsor portals.
  • Knowledge of State, Federal and Non-Federal sponsored programs' regulations and operation policies, including, OASC-3, NIH grants policy statement, FAR, and Uniform Guidance.
  • Working knowledge of key practices in the field of research administration.
  • Strong technical skills, including knowledge of Microsoft Excel, Word Power Point. Knowledge of Microsoft Access or other relational databases preferred.
  • Strong interpersonal skills, a high degree of organizational skills and demonstrated leadership abilities. Must have the ability to build strong teams promotes curiosity and opportunities for learning and development in a safe, supportive environment. Demonstrated conflict resolution skills.
