Summary of Job Duties:The Graduate Medical Education (GME) Program Coordinator will manage the day-to-day operations of the residency/fellowship program and contribute to the success of the program through support of the program director in accreditation efforts, educational programming and support of residents. The program coordinator is a member of the program's leadership team and as such has a unique knowledge of the Accreditation Council for Graduate Medical Education (ACGME) and program-specific requirements, policies and procedures. The program coordinator serves as a liaison between program and trainees, faculty, staff, hospital administration, as well as, internal and external departments. Qualifications:

High School diploma/GED plus seven (7) years of professional administrative experience required.

Preferred Qualifications:

  • Bachelor's degree.

  • Three (3) Years of GME program coordination experience.

  • TAGME - Training Administrators of Graduate Medical Education Certification.

Additional Information:

Responsibilities:

  • Oversee resident rosters, milestone evaluations, surveys, and case log reporting in WebADS.

  • Support development and management of improvement plans in response to ACGME citations and areas for improvement.

  • Collect, analyze, and prepare data for the UAMS GME Annual Program Evaluation.

  • Develop, review, and update program policies to ensure compliance with ACGME and GME requirements.

  • Coordinate and prepare for ACGME Self-Study and Site Visit processes.

  • Gather and present data for the Program Evaluation Committee (PEC) and Clinical Competency Committee (CCC), and staff their meetings.

  • Assist in the creation and oversight of educational activities such as didactic conferences, journal clubs, and board prep sessions.

  • Track, report, and ensure compliance with program policies, procedures, and regulatory requirements.

  • Compile and submit monthly billing reports to the Housestaff Office.

  • Manage and oversee the process for specialty-specific exams and proctor exams for residents.

  • Oversee the program's budget and manage purchasing processes.

  • Plan and coordinate program events, including graduations, retreats, and meetings.

  • Staff and support resident lectures, didactic sessions, and conferences.

  • Manage visa processes for trainees, ensuring timely submission and compliance.

  • Develop and implement processes for recruitment and selection of resident candidates.

  • Manage ERAS, NRMP, FRIEDA, and other residency-related online systems.

  • Oversee onboarding for new residents, advancement for continuing residents, and checkout for existing residents.

  • Organize and lead department-level orientation and promote the program via website updates and promotional materials.

  • Manage the New Innovations platform, including personnel files, schedules, evaluations, and reporting.

  • Maintain complete and accurate records of resident progress, training verification, compliance, evaluations, and leave tracking.

  • Perform other duties as assigned.

Salary Information:

45,000-55,000
