The Business Administrative Associate II works with the associate dean for administration and dean's office staff to provide financial and administrative support and oversight to the dean's office, departments and units within the college.

Duties & Responsibilities:
  • Administration and Operations Assist the associate dean for administration with oversight of college departments and units' financial operations. Draft best practices for department operations. This may include drafting policy, procedures, and processes. Assist associate dean with coordinating department and unit operations as needed. Review university business and finance procedures with unit staff and provide needed training sessions. Provide support to department operations when existing staff are not able support department needs in a timely manner or during peak periods. Assist associate dean in working with UI-Health to develop financial oversight processes for clinical operations in college. Supervise support staff and student staff as required. Oversee property accounting and biennial inventory.
  • Finance and HR Process budget adjustments for dean's office and departments. Process labor distributions and redistributions for dean's office and departments. Process journal vouchers. Reconcile funds. Generate financial reports, identify potential negative variances and trends. Provide recommendations to correct any adverse expenditure trends. Process purchases and obtain quotes for goods and services. Process contracts. Process and oversee financial transactions including Chrome River transactions, I-Buy, procurement card purchases, and travel reimbursements, etc. for dean's office. Serve as department card manager.
  • Misc. Keep current with UI Business and Finance policies and serve as resource for units. Manage special projects as needed. Serve on UIC Reporting Committee.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:

    1. Bachelor's degree in business administration, management, or a field related to the position.

    2. Five years of professional business, financial, and/or managerial work experience.

    (NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

    Preferred Qualifications:
    • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
    • Familiarity with the organization, structure, function, and policies of the University of Illinois, especially fund accounting and policies.
    • Experience with business intelligence tools and Banner.
    • Familiarity with University applications including iBuy, Chrome River, and EDDIE.
    • Strong analytical skills.
    • Ability to organize data logically, including graphical representation.
    • Ability to work with financial data and produce accurate results.
    • Excellent interpersonal, written, and oral communication skills.
    • Solid organizational skills.
    • Must be able to handle multiple projects simultaneously and consistently meet deadlines.
    • Ability to further learn Banner and other UIC used administrative systems including Business Objects (EDDIE/Web Intelligence), iBuy, Budget Development, Chrome River, etc.
    • Ability to analyze and develop guidelines, procedures and systems to outline specific goals and implement plans to prioritize, organize, and accomplish tasks.
    • Consistently meet deadlines.
