JOB SUMMARY Provides administrative support for the Risk Management Department with various risk management processes and procedures. Responsible for insurance & claims management, fleet vehicle and other risk management programs, compliance, documentation & reporting and other tasks to help assist the Director of Risk Management and the Environmental Health and Safety (EHS) and Loss Prevention (LP) teams. WHAT YOU WILL BE DOING:
- Supports the insurance function, including the renewal process for all policies with data collection and analysis, insurance carrier applications and broker coordination. Develops and maintains a relationship with all insurance vendors.
- Reports and processes "General Liability" customer claims as escalated from Retail and Customer Service.
- Ensures compliance on vendor requirements and certificates of insurance that the company issues and receives within its contractual obligations, interprets contract and lease language, coordinates with brokers, maintains files and follow up system.
- Manages Fleet vehicle program with vendor. Executes Fleet vehicle delivery and maintenance processes. Performs driver specific auditing, tracks fleet car maintenance documentation and oversees the company driver motor vehicle records (MVR) check program.
- Manages Fleet GPS program with GeoTab. Performs Fleet vehicle GPS audits and maintains GeoTab accounts.
- Supports Director with the corporate Anti-Money Laundering (AML) program. Processes vendors through appropriate background checks.
- Administers the access/ID badge security process, including assignment of employees to appropriate groups. Addresses security issues with badge, access and alarm codes (issuance of codes, deleting users/locations). Supports Red Flag and Corporate campus visitor's check-in process.
- Manages the company's fire protection program; including scheduling annual and semi-annual fire suppression system inspections and annual fire extinguisher inspections. Manages the relationship with related vendor(s).
- Manages the company's alarm permit program, ensuring city annual permit fees and registrations are paid and completed in a timely manner.
- Serves as the Red Flag system backup administrator. Responsible for sending messages to targeted groups based upon the message and intended audience.
- Utilizes internal department reports and systems to create and maintain spreadsheets, generate incident reports for Executives, Retail and Manufacturing, and produces various department charts, posters, or signage.
- Maintains all related records and executes record retention guidelines.
- Manages the Risk Management Connect (intranet) page with up-to-date content. Ensures only the most up-to-date forms and information are displayed.
- Facilitates the evidence management process, including but not limited to: downloading videos as directed; ensuring video tape recordings are attached to appropriate incident files; and providing tape recordings for subpoena requests.
- Responsible for managing the processes required for all risk management invoices, Oracle ordering, office supply ordering, audit and compliance. Codes and facilitates payments.
- Cross trains in other risk management areas as needed and effectively trains others in job tasks to support department operations.
- Maintain a "good standing" driving record as per James Avery's Company Driver Policy.
- Adhere to James Avery's Company Driver Policy and Safety Rules to ensure a safe driving and working environment.
- Supports the Risk Management department with other duties as assigned.
WHAT IS REQUIRED:
- High school diploma or equivalent.
- 3 years of administrative support or risk management experience.
- Must have valid State Driver's License and be able to meet James Avery's driving requirements.
- Intermediate proficiency with MS Office: PowerPoint; Word (document creation; mail merge etc.); and Excel (spreadsheet design, linking, data sorting, basic formulas (Average, Sum, Min/Max), formulas (if/then); charts & graphs, etc.).
- Excellent written and verbal communication with effective interpersonal skills.
- Strong organizational and project management skills.
- Ability to prioritize multiple tasks effectively with accuracy and precision.
- Ability to travel to various work locations as business need requires.
PREFERRED QUALIFICATIONS:
- Associate's Degree in Risk Management or related field.
- Experience in Risk Management, Insurance, EHS or Loss Prevention field.
