Healthcare Coordinator

Triumvirate Environmental, one of the largest environmental services firms in North America, is seeking a Healthcare Coordinator to join our Compliance team.

In this role, you will provide exceptional support throughout the pre-employment health screening process, ensuring a smooth and positive experience for candidates. You will work closely with internal departments to coordinate efforts, proactively manage timelines, escalate issues when necessary, and maintain meticulous attention to detail to facilitate timely and efficient onboarding for new hires.

This position reports to the Director of Health & Wellness. This role ishybrid and is based in Somerville, MA.

Responsibilities:



  • Serve as the main point of contact for candidates throughout the pre-employment health screening process, providing guidance and support.
  • Coordinate with third-party healthcare providers to schedule and manage pre-employment physicals, drug screens, and any other required medical screenings.
  • Act as a liaison between candidates, healthcare providers, and hiring teams to ensure a smooth and efficient pre-hiring process.
  • Proactively identify and resolve potential issues or delays, promptly communicating updates to candidates and stakeholders.
  • Ensure that pre-employment documentation and compliance requirements are completed accurately and on time.
  • Maintain accurate records and track candidate progress through the pre-employment process.
  • Ensure pre-employment steps are completed within standard lead times, recognizing when to escalate issues to management or relevant stakeholders if timelines or service standards are at risk.
  • Handle health-related candidate information in accordance with HIPAA regulations, ensuring the confidentiality and security of sensitive data.
  • Assist with additional department tasks, including managing Department of Transportation (DOT) Medical Cards, coordinating Substance Abuse Program (SAP) compliance for employees, handling Medical Review Officer (MRO) requests, notifying employees of drug screening results, and ensuring timely Drug & Alcohol Clearinghouse queries and documentation for Commercial Driver License (CDL) candidates and employees.
  • Additionally, assist the Occupational Health Manager with administrative duties related to employee work-related injuries, including employee check-ins, record retention, and document collection.


Basic Requirements:



  • 1-3+ years of experience in healthcare coordination, HR, or customer service role.
  • Demonstrated knowledge of HIPAA regulations for handling sensitive healthcare information.
  • Excellent communication skills, with the ability to connect with candidates, providers, and internal Triumvirate departments.
  • Strong attention to detail, organization, and problem-solving skills.
  • Proactive and assertive approach to managing tasks and overcoming obstacles.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Must be eligible to work in the United States without future sponsorship.
  • Must have a reliable form of transportation.


Preferred Requirements:



  • Previous experience in a healthcare coordination role, especially in pre-employment health screening, drug testing, or occupational health.
  • Familiarity with working alongside third-party healthcare providers and managing compliance-related processes.
  • Experience in an HR or recruitment setting where high-touch candidate interactions were required.
