JOB TITLE:

Office Associate

JOB PURPOSE:

Perform advanced office and administrative/management support tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provide administrative support to Director, Associate Directors, Federal Relations/Staff Development Coordinator, and Business Manager
  • Perform administrative tasks and projects. Analyze, process, and maintain information as required
  • Assist supervisor(s) by researching problems and providing resolution(s) as directed, as well as arranging travel itineraries and securing travel arrangements
  • Perform bookkeeping duties, organize data, and oversee office functions as required
  • Prepare complex reports regarding personnel staffing and budgetary requests for personnel, supplies, equipment; perform associated analysis and interpretations
  • May perform a variety of marketing, public relations, and special event projects and tasks
  • Provide training regarding department and University procedures; may provide computer application(s)/procedures training
  • Perform special projects, as directed
  • May guide or supervise other office staff as required
  • Become familiar with UW Extension and National Cooperative Extension Services

SUPPLEMENTAL FUNCTIONS:
  • Provide assistance to UW Extension Educators, Specialists, and Staff
  • Provide customer service assistance to internal and external parties
  • Coordinate office purchases; maintain and reconcile individual/department p-card
  • May assist with departmental budget planning process including research and provide/prepare financial reports.
  • Assist with revision of forms and office procedures.
  • Coordinate activities related to leased, rented, and owned vehicles including maintenance, reports, billing, and purchases.

REMOTE WORK ELIGIBILITY:

This position provides vital support to Extension clientele and requires the successful candidate to be available to work on campus.

MINIMUM QUALIFICATIONS:
  • High School Diploma or GED
  • Two years progressively responsible work-related experience in a collaborative office setting

  • Valid driver's license with a motor vehicle record (MVR) that is compliant with the University Vehicle Use Policy

DESIRED QUALIFICATIONS:
  • Time management skills, experience handling multiple tasks and deadlines
  • Ability to complete complex administrative tasks, follow detailed procedures/methods, and problem solve
  • Organizational and planning skills
  • Ability to maintain complete and accurate detailed records
  • Experience in property management
  • Experience with bookkeeping, budgets, and accounting
  • Experience coordinating travel itineraries, including airfare, lodging, and transportation
  • Experience in reception skills
  • Experience in maintaining calendars and scheduling appointments, events, and meetings
  • Experience with project management
  • Higher education work experience
  • Excellent verbal and written communication skills, including strong spelling, grammar, and punctuation
  • Proficient in Microsoft Office
  • Strong customer service skills, proven commitment to providing outstanding customer service and demonstrate strong interpersonal skills
  • Knowledge of Extension and the land-grant university system
