JOB DESCRIPTION

TITLE

Coordinator, Catalog and Course Management

JOB SUMMARY

The Coordinator of Catalog and Course Management reports to the Manager of Curriculum, Catalog, and Academic Communications and plays a critical role in assisting with the maintenance of academic catalog, curriculum, and course management systems (CIM/CAT CourseLeaf). The position coordinates the publication of the academic catalog among other additional functions. This position requires strong organizational, communication, and project management skills, as well as an understanding of academic programs and processes. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Manager, Curriculum, Catalogs and Academic Communications

Supervises: No supervisory responsibilities

ESSENTIAL DUTIES - May include, but not limited to the following:



  • Supports the Manager of Curriculum, Catalog, and Academic Communications in updating and maintaining the academic catalog, course, and curriculum information in related systems (CIM/CAT) as needed.
  • Maintains user provisioning in related systems.
  • Assists academic components and users with troubleshooting and entry of new programs/courses or revisions to existing programs/courses in the management systems.
  • Supports and maintains the workflow structures for curriculum and course management systems.
  • Collaborates with academic departments to collect and update information on courses, programs, and policies for the institution's catalog.
  • Reviews and edits catalog content to ensure accuracy, consistency, and compliance with relevant regulations and accreditation standards.
  • Under the supervision of the Manager of Curriculum, Catalog, and Academic Communications, coordinates updates to and the publication of the catalog.
  • Stays informed about changes in academic programs, policies, and regulations and update the catalog accordingly.
  • In coordination with the Manager of Curriculum, Catalog, and Academic Communications, develops and conducts training for academic components of the curriculum and course management systems.
  • Assists with academic catalog, curriculum, course systems, and user-testing of updates with university stakeholders.
  • Assists with annual reviews of catalog, course, and program data.
  • Maintains up-to-date records of curriculum changes, course descriptions, prerequisites, and program requirements.
  • Assists the Office of the Vice Provost for Curriculum and Strategic Initiatives with reporting data from academic catalog, curricula and course management systems as needed.
  • Participates in relevant trainings related to the CIM system.


ADDITIONAL DUTIES



  • Provides support to the Curriculum Committee.
  • Develops and implements effective communication strategies to disseminate academic information to students, faculty, staff, and other stakeholders.
  • Supports the Manager of Curriculum, Catalog, and Academic Communications in coordinating with academic components timelines for academic deadlines.
  • Collaborates with cross-functional teams, including faculty, administrators, and IT professionals, to ensure successful implementation of initiatives.
  • Performs other duties as requested.


EDUCATION

Bachelor's degree required. Additional job-related experience may substitute for the required education on a year-for-year basis.

EXPERIENCE

One year of functional, hands-on experience with information systems

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential:



  • Ability to work in a team environment setting.
  • Ability to learn general degree requirements and processes associated with Texas higher education.
  • Ability to learn THECB and SACSOC policies and regulations.
  • Ability to learn university undergraduate and graduate degree programs, curriculum, and governing bodies.
  • Excellent written and verbal communication skills, with attention to detail and the ability to convey complex information in a clear and accessible manner.
  • Proficient in using content management systems, databases, and other technology tools for catalog management and communication purposes.
  • Proven ability to manage multiple projects simultaneously, set priorities, and meet deadlines.



  1. Ability to learn about curriculum development processes.



  • Ability to use a personal computer and other office equipment, including related university software and email.
