JOB SUMMARY

The Flight Records Specialist provides support to Flight Operations Manager in the areas of record keeping, filing, tracking of materials and documents as required by the Federal Aviation Administration (FAA), Department of Transportation (DOT), federal law (PRIA), and applicable state licensing requirement, company regulations, and department policy. The assist with the process of new pilots and conducts Pilot Records Improvement Act (PRIA) in accordance with the Federal Aviation Administration (FAA). This Specialist also assists with the maintenance of pilot records in accordance with Company procedures and the FAA requirements.

ESSENTIAL FUNCTIONS/DUTIES

  • Assures all forms in New Hire packets and Recurrent Training packets are the correct version.
  • Create folders to upload all new hire paperwork into sub folders in the on line SharePoint system.
  • Tracks and files required documentation of Air Evac pilots FAA records.
  • Assists the Aviation Training Administrative Assistant with logistical needs in the Flight Ops Training department.
  • Prepares and sends communication to the field for revisions/amendments to the Air Evac Operations Manual.
  • Review and approve expense reports (Concur) for all pilots on a weekly basis.
  • Code, approve and submit invoices to Accounting for payment.
  • Order supplies for Flight Operations department.
  • 2nd back up for Receptionist phone coverage.
  • Other duties as required.
  • Responsible for weekly Out of Service Report-collects changes from 6 Regional Director of Flight Operation, update report and submit to management.
  • Responsible for weekly Company Base Status Report- collects changes from 6 Regional Director of Flight Operation, update report and submit to management.
  • Updating Lesson's Learned slides for Senior Director Flight Operations on a monthly basis.
  • Interacts with pilots and company personnel for gathering data, disseminating information, resolving paperwork and processing/record keeping issues.
  • Performs other duties as assigned.

QUALIFICATIONS

Education

  • High school diploma or equivalent

Skills

  • Ability to multitask and perform effectively in a fast-paced environment.
  • Exhibits professionalism, is ethical and able to maintain confidentiality.
  • Excellent verbal and written communication skills.
  • Ability to gather data, compile information, and prepare reports
  • Critical thinking skills with the ability to use logic and reasoning to identify alternative solutions, conclusions or approaches to problems.

Experience

  • One year experience in office environment and working with the public
