Scheduling Coordinator - Remote within IA, MN, ND, NE or SD

Pay: The anticipated salary range for this position is $19 - $30 per hour, depending on experience and qualifications. Compensation is determined based on a variety of factors, including relevant work experience, the skills required for the role, internal equity, market competitiveness, and budget considerations. We are committed to ensuring fair and competitive pay for all employees.

Schedule: Full-time, 40 hours per week

Shift times: Monday - Friday, shifts times will vary anywhere between 7am-7pm.

Job Summary:

Under immediate supervision of the Director of Health Services Staffing and Support, the Scheduling Coordinator performs a wide variety of functions. The Scheduling Coordinator is a key member of the Staffing and Scheduling Department, working with Health Services Leadership to plan and organize activities of clinical operations staff to meet the staffing needs of all clinical positions. This person will assist in the development, coordination, and communication of the clinic staff schedules ensuring adequate Physician, Clinician, Support Staff, and Health Services Associate coverage of all individual clinics based on staffing criteria. The Scheduling Coordinators are advocates in implementing our mission of "Advancing and protecting sexual and reproductive healthcare for all." They may perform other related duties as assigned.

Minimum Qualifications:



  • Two years administrative, office, or medical experience
  • Experience with staff scheduling
  • Demonstrated ability to multi-task and manage multiple complex projects


Your Day-to-Day Responsibilities:



  • Provide logistical support and partnership to Health Center Leadership to ensure adequate deployment of staff and other resources to maintain scheduled operating hours and patient access in Health Centers and Virtual Care
  • Interface with Health Services Leadership and Human Resources to support effective recruiting, onboarding, training and scheduling of Health Services and Clinical Operations personnel
  • Receive and respond to PTO requests and modifies as necessary in accordance with approved procedures.
  • Inform Health Center Managers of situations that result in a scheduling conflict as defined in the scheduling procedures and work in partnership with Health Center Leadership to coordinate coverage and adjust schedules as needed.
  • Orient, train and support new and existing PPNCS staff in use of scheduling software and standard operating procedures.
  • Manage tracking and communication of same day absences, late arrivals, and early departures.
  • Coordinate blocking to the correct staffing model upon publishing of staff schedules and as absences occur under supervision of the Director of Staffing and Support.
  • Act as a subject matter expert of the scheduling software system for Health Services .
  • Respond promptly and thoughtfully on behalf of the Staffing Department to communications that come to the Staffing and Scheduling e-mail listserv.
  • Load and configure EHR templates based on daily staffing mix.
  • Track and coordinate weekend and training incentives for staff.
  • Assist Health Services Leadership with blocking and unblocking templates based on last-minute staffing changes and adjustments.
  • Perform other related duties as assigned.
