Job Details:

Purpose

As a member of the Executive Vice President and Provost's (EVPP) Office Academic Business Affairs team, the Senior Manager for Business Transaction Processing oversees procurement, business contracts, payments, receivables, and related transaction processing for units in the EVPP portfolio. The incumbent leads a team of business professionals to provide efficient, high-quality support to the units served.

Responsibilities
  • Supervise the business processing team to provide responsive, professional services to clients in the area of procurement, business contracts, payments, receivables, and other related processes. Ensure adherence to service level expectations and compliance with policies and procedures. Monitor/assign tickets (work assignments). Evaluate and balance workloads as needed during peak periods. Ensure appropriate separation of duties are maintained. Assess development opportunities and support team member's professional development plans.
  • Audit vouchers, wire requests, reconciliations, and other related documents for quality, validity, and compliance. Serve as final approver for designated electronic documents.
  • Manage relationships with EVPP clients and central offices including procurement, payments, and travel. Trouble shoot issues ensuring timely resolution. Manage contracts and relationships with vendors as needed.
  • Maintain an expert level of knowledge of related university and EVPP policies and procedures. Assist in developing and continuously improving business processes, procedures, systems, and documentation. Serve as Docusign Unit Contact. Maintain Certified Texas Contract Manager credentials.
  • Assist with creating procurement and payment vouchers as needed. Prepare cash deposits ensuring timely submission to the Bursars Office and properly maintained records.
  • Oversee record management for procurement and payments ensuring complete and accurate records are maintained. Conduct regular disposition of records and convenience copies.
  • Assess and recommend improvements to processes, procedures, and policies. Participate on EVPP and university committees and reports and briefs for leadership as needed.
  • Other duties as assigned: serve as backup/surge support for academic business affairs colleagues including outside scholarships; participate in or lead special projects; and attend routine and ad hoc meetings.
Required Qualifications
  • Bachelors degree and five years of management experience in administrative and/or financial operations or Masters degree and three years of above experience.
  • Demonstrated effective team leadership.
  • Knowledge of UT Austin procurement, contract, travel, and payment processes.
  • Proven ability to prioritize responsibilities and manage concurrent projects while maintaining a high level of accuracy and attention to detail.
  • Ability to meet overlapping deadlines in a fast-paced office environment.
  • Demonstrated strong organizational skills.
  • Excellent interpersonal, oral communication, and writing skills.
  • Demonstrated analytical, problem-solving and critical thinking skills.
  • Experience providing exceptional customer service.
  • Demonstrated ability to work with confidential information using tact and discretion.
  • Proficiency using digital resources, including Outlook, Microsoft Word, Excel, databases, and standard office equipment.
  • Must have or obtain Certified Texas Contract Manager status within six months of hire.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Experience working in higher education within an academic environment.
  • The ideal candidate should be a collaborative leader, skilled at anticipating changing priorities, able to work well in changing environments, respond well to feedback, and works well both independently and as part of a team.
  • Demonstrated experience mentoring staff.
  • Demonstrated experience with or keen interest in business process improvement.
  • Skilled at interacting with a variety of constituents/clients.
  • Experience with *DEFINE, DocuSign, and Smartsheet.
  • Familiarity and knowledge of UT policies and procedures and an understanding of University organizational, cultural and academic structure as well as knowledge of University resources.
Salary Range

$75,000 + depending on qualifications

Working Conditions
  • Works in standard office conditions with repetitive use of a keyboard at a workstation.
  • May require additional hours during peak periods and special events.
