The Senior Benefits Specialist will be a member of the Total Rewards team that provides expertise related to employee benefits and programs. This role will be responsible for designing, implementing and managing employee benefit programs and other perks, ensuring compliance with laws and regulations while optimizing cost-effectiveness and employee satisfaction. Roles and Responsibilities include but are not limited to:
- Manage all functions related to the administration of employee benefits and wellness programs to include:
- Conduct open enrollment with the support of benefit brokers and carriers.
- Distribute benefit enrollment materials.
- Process life status changes/qualifying events and ensure proper proof of changes is acquired.
- Prepare and present census information.
- Work with ADP to ensure set up with correct rates and plan details.
- Clearly communicate benefit changes to employees.
- Create and deliver employee wellness programs and communications.
- Prepare and audit monthly benefit invoices to ensure accuracy.
- Oversee Leave Administration to include employee communications, coordinating with payroll on leave time being taken, tracking employee benefit premiums owed while on leave, and coordinating information with UNUM as the Total Leave Vendor.
- Maintain accurate benefit data in ADP and audit carrier systems for accuracy.
- Oversee all open enrollment activities to include ADP setup, employee communications and materials, virtual and in-person employee sessions, and implementation/testing of new plans in ADP for accuracy.
- Conduct routine analysis of employee benefits eligibility files to ensure accuracy; work with finance and payroll to address discrepancies.
- Lead planning activities associated with open enrollment, and summary plan descriptions; collaborate with vendors to ensure resources tools are updated and accessible to employees'
- Serve as the primary point of contact for employee and vendor inquiries regarding benefits, eligibility, claims, and enrollment. Monitor the benefit email box to ensure timely and accurate responses are provided.
- Maintain compliance with federal, state, and provincial regulations, including ACA, COBRA, FMLA, ERISA, and HIPAA.
- Coordinate with external vendors, brokers, and carriers to resolve issues, improve service delivery, and renew benefit plans.
- Collaborates with payroll and ensures that employer contributions and payroll deductions are processed accurately and in a timely manner.
- Responsible for ensuring benefits programs comply with applicable plan document and regulations, performing analytics on usage, cost and effectiveness of benefits, as well as identifying improvement opportunities associated with the administration and design of the Programs
- Process workers compensation claims and coordination of claims and information with employees, leaders and the company's workers compensation vendor.
- Monitor eligibility, limitations and restrictions of plan participants and ensure compliance with plan provisions and government requirements.
- Performs other duties as assigned.
Qualification Requirement:
- Bachelor's degree in Human Resources, Business Administration, Industrial Psychology, or related field required.
- At least 5 years of experience in employee benefits administration with some exposure to global benefit programs.
- Experience with Service Contract Act "SCA" is preferred.
- Experience with ADP Workforce Now and Benefit File Feeds a must
- CEBS Certification preferred. SHRM-CP, SHRM-SCP, PHR or SPHR is a plus.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Thorough understanding of local, state, and federal laws involving employment, HR, and benefits administration.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn the organization's HRIS, payroll, and similar human resource management software and practices.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
