The mission of the UCI School of Physical Sciences is to uncover fundamental truths and to provide transformative discoveries that improve the world. Our aim is to deliver scientific breakthroughs that reshape our understanding of the physical world and provide solutions to the most profound problems of our age. The UCI Department of Mathematics is comprised of 43 senate faculty, 24 non-senate faculty, approximately 700 undergraduate students and 100 PhD students with approximately 60 Teaching Assistants per quarter. A highly productive and influential department on campus, the Mathematics Department is a workplace that strives for strong service and excellence, while inspiring creativity, professional development, teamwork, and support for all its constituents. The department provides an educational, supportive, challenging, engaging, and rewarding atmosphere where collaboration and innovation both thrive. This position will begin full time on-site. After assessing work productivity throughout the six-month probationary period along with satisfactory progress and supervisor approval, the incumbent may request a hybrid/remote schedule that fits within the department's business needs.


Your Role on the Team

The UCI School of Physical Sciences and Department of Mathematics is recruiting an Undergraduate Program Administrator. The primary responsibilities of this roll are in consultation with department leadership. The Administrator advises the Department Chair and Department Manager in administrative matters including confidential departmental matters and provides administrative analysis related to the undergraduate programs. The Administrator uses professional concepts in analyzing and drafting annual department schedule for courses, seminars, and special events, taking into consideration faculty leaves and sabbaticals, course preferences, faculty course load, classroom availability, and enrollment trends and data. Closely analyzes course curriculum planning to ensure it meets the needs of students for degree progression. Independently obtains classrooms for courses with careful consideration of degree requirements as well as the requirements and restrictions of the Campus Scheduling Office. The Administrator oversees all planning, scheduling, and coordination elements of the undergraduate program within the department, including some student affairs counseling.

Essential Functions (Key Responsibilities)
  • Collaborates with Vice Chairs to plan and draft the annual teaching schedule based on course listings, enrollment trends, and faculty availability. Identifies teaching coverage gaps and recommends additional teaching resource needs to department leadership. Uses teaching data analysis to coordinate with other department staff on faculty leaves, sabbaticals, and related tasks to support faculty teaching responsibilities and proper documentation. 15%
  • Using judgment and discretion, independently schedules department courses for academic year and summer session. Obtains classrooms for courses, and takes into account Registrar policies, instructor preferences, enrollment trends, equipment and facility needs, and department needs. Advises department leadership on the appropriate allocation of graduate student instructors, teaching assistants, and readers to courses based on instructional need. 40%
  • Oversees enrollment restrictions and exceptions for academic year and summer courses, approves or denies concurrent enrollment requests. Serves as the primary administrative contact for all undergraduate students and inquiries in the department. 10%
  • Coordinates and suggests course and degree program changes, preparing and submitting approvals to the Academic Senate. Coordinates the course evaluation process, textbook acquisitions, course grade submissions for the department. 5%
  • Maintains the accuracy and relevance of the undergraduate website by updating instructional course information, program details, and event announcements to ensure accessible resources for students. Sends regular announcements to the undergraduate listserv to inform students about events, programs, and opportunities. 5%
  • Manages undergraduate programs and student activities, including the Honors Program and major specializations, maintains a database of honors students, advises the Undergraduate Honors Director on policies, and collaborates with student clubs to enhance undergraduate engagement. 10%
  • In collaboration with the Business and Student Affairs offices, oversees and processes departmental funding opportunities and reimbursements especially related to student affairs. Manages budgets and provides financial reports, ensuring compliance with university policies. 10%
  • Provides support for graduate academic counseling, degree completion, curriculum enhancements, qualifying exams, recruitment events, and serves as backup to the Graduate Student Affairs Officer as needed. 5%

The expected pay range for this recruitment is $53,800- $63,100 (Hourly).

Required:

  • Bachelor's degree in related area and / or equivalent experience / training.
  • 1-3 years of applicable working experience for an organization.

Special Conditions:
