Job Description:

Cydecor is looking for a motivated and organized individual to help the Cydecor team coordinate, develop, write, deliver, and win proposals for contracts supporting the Department of Defense. We are looking for an individual with exceptional organization and communication skills and experience coordinating the development and delivery of winning proposals. Responsibilities include:

  • Manage, and execute all aspects of proposal coordination processes and procedures and interactions with staff related to content data calls and collection, graphics development, editing, desktop publishing, and production efforts for both written and oral proposals.
  • Create and maintain a proposal schedule and list of POCs, facilitate communication and set up meetings, take meeting notes and track action items, oversee document management, and manage the proposal development website.
  • Assist the Proposal Manager with proposal plans, outlines, compliance matrices, storyboard layouts, annotated outline, version control, schedules, and assignments.
  • Confer with multi-disciplinary teams to schedule and help the Proposal Manager with proposal formatting, production, graphics, and quality control.
  • Under the direction of the proposal manager and working with proposal authors and technical staff, the proposal coordinator will create graphics, tables, and other proposal components.
  • Coordinate proposal document reviews (Kickoff Meetings, Pink Team, Red Team, Gold Team, etc.).
  • Manage the proposal content repository, ensuring that proposal documents and artifacts are maintained in the proposal document library.
  • Establish and maintain the master proposal calendar for tracking proposals corporate-wide, may integrate schedules of all proposals, and include due date alerts
  • Conceptualize, write, edit, and review proposal response documentation such as Volumes, Management/Staffing/Transition Plans
  • Maintain compliance with technical requirements solicited by the government
  • Engage with and interview Subject Matter Experts (SMEs) and Project/Program Managers (PMs) to extract, translate and develop technical responses
  • Ensure documentation adheres to established style guides, standards, and templates, and maintain a consistent writing style (one voice) across various volumes/materials
  • Develop and edit technical proposal response documentation in support of multiple and concurrent federal Request for Proposals (RFP's)
  • Review and edit work produced by others for grammar, readability, syntax, punctuation and general correctness.
  • Gather, translate and organize technical data sets into a digestible, readable narrative for the layman.

Here's what you need:

  • Bachelor's degree in Management, Business, Communications, English, or a relevant Business or Liberal Arts
  • Minimum of 2+ years of Federal Government proposal coordination experience
  • Minimum of 2+ years of experience scheduling and coordinating meetings
  • Outstanding verbal and writing communication skills
  • Ability to liaison with multiple inter-related departments
  • Exceptional organizational skills and the ability to meet strict deadlines
  • Exceptional attention to detail, resourcefulness, and independence
  • Exceptional document management skills and ability to track/maintain a high number of documents at the same time
  • Expert user level for MS Word, Excel, PowerPoint
  • Proficient in using SharePoint and Adobe PDF or similar
  • Experience with document processing, formatting, and desktop publishing is desired
  • Professionalism and a strong work ethic, with an understanding that proposal work requires a flexible work schedule, including evenings and weekends, if required.

Security Clearance:

  • Ability to obtain and maintain a security clearance is required (must be a US citizen).

Education:

  • Four-year degree from accredited college or university required. A bachelor's degree in Management, Business, Communications, English, or related discipline, preferred.
