Under the leadership of the Chief Marketing Officer, the Specialist, Marketing & Communications Planning, manages the flow of department projects including events, helps plan the annual budget including agency expenditures and plans meetings for the department and its leaders. Connects with identified stakeholders throughout the college to help them understand the project process, how to request projects and understand where a project stands. Assists in the flow of external rental contracts. Work is performed with considerable independent judgment, creativity and ingenuity to analyze and to resolve problems. Supervision received is general consistent with established goals and college procedures.

Characteristic Duties and Responsibilities

  • Project Management and Administrative Support: Manages the flow of department projects and events; this includes project requests, intake meetings, prioritization, assignment of project lead, and mapping future projects. Provides administrative support to the leaders of the department and supports the project process as well as other things that are needed.
  • Event Support: Supports the Coordinator, College Events with event workflow.
  • Communications and Promotional Support: Assists with promotional communications about events such as assisting with promotion of events through the college's communications channels.
  • Budget Tracking and Planning: Works closely with the Chief Marketing Officer to manage the department's budget including expenditures through the college's marketing agency of record.
  • Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with staff, faculty, administrators, and external agencies including auditors and regulatory agencies.
  • Ethics and Confidentiality: Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner.
  • Continuous Learning & Professional Development: Maintains current knowledge of marketing, event planning and project management best practices and standards in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.
  • Other duties: Perform other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

KNOWLEDGE, SKILLS, & ABILITIES

  • Knowledge of marketing and communications principles and tactics.
  • Knowledge of project management.
  • Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
  • Excellent attention to detail.
  • Experience with event planning and related communication, with an emphasis on logistics and contract support.
  • Proficient with Microsoft Office including Excel, Word and Outlook and other reporting software
  • Ability to quickly learn new systems and processes
  • Ability to work independently on multiple projects, meet all deadlines, and coordinate activities to achieve specific communication, marketing and institutional goals and objectives.
  • Able to deal with interruptions and work in a fast-paced office environment
  • Maintain a high level of confidentiality
  • Consistently provide a high level of service to students and members of the community
  • Strong written communication skills; ability to write clear, structured, articulate communications.
  • Excellent organizational skills with an ability to prioritize and manage multiple tasks and a variety of demands.

Qualifications

MINIMUM QUALIFICATIONS

Compliance with all state, federal, and accreditation standards/requirement, as well as all MATC policies and procedures.

Required Education & Experience: Associate's Degree in Administrative Assistant, Communications, Event Planning, Journalism, Marketing, Public Relations, or related field and two (2) years of work experience in supporting marketing or events teams.

Preferred Education & Experience: Bachelor's degree in related field; and two (2) years of progressively responsible work experience in supporting marketing, events teams, and or project management.


Supplemental Information

Start Date: This position supports the Marketing & Communications Department and is available to start immediately.

Hours: This is a 52 week position, year-round. Working up to 40 hours weekly, in-person, primarily based out of the Downtown Campus. Work is conducted during scheduled hours, Monday - Friday. Hours vary based on departmental needs. Employees will conduct all work hours in the State of Wisconsin, performing work outside the state is strictly prohibited.

Salary: Salary is determined by years of experience credit and internal salary equity. Salary determination will be only based on years of credited experience that is listed on the job application, please include complete work history.
