Position Summary

The IS Budget and Operations Coordinator role is to work with the Vice Presidents of Information Services to assist, coordinate and prepare executive level tasks and responsibilities as they relate to overall budgetary and operational demands of the department. This position will collaborate with the Senior Budget and Operations Analyst to assist in the preparation and daily management of invoices, budget, revenue and expenses based on directive from the IS Leadership team. The IS Budget and Operations Coordinator will provide administrative support for the executive IS Leadership team for management reporting, contract management, financial authorization processes, departmental communications and general administrative-related duties. This position will work in collaboration with the Senior Budget and Operations Analyst in a professional and friendly manner, perform assigned job duties to the highest level of customer service and assistance to both internal and external customers.

Essential Functions and Responsibilities of the Job

  1. Provide comprehensive executive level support to the Vice Presidents of Information Services.
  2. Prepare departmental capital and operating budgets and create reports on year-to-date expenses and projected costs.
  3. Analyze trends on capital and expense projects for executive leadership team of Information Services.
  4. Serve as the point of contact for vendors regarding purchase order and billing coordination and queries.
  5. Order supplies and prepare invoices for contracted services and manage the life cycle of contracted labor.
  6. Work closely with Accounts Payable regarding costs and revenue.
  7. Screen all phone calls and correspondence addressed to VP's, independently determining appropriate action, and on own initiative, drafts appropriate correspondence. The IS Budget and Operations Coordinator ensures that all communications reflect the appropriate image, message, and tone of the Office.
  8. Independently researches and compiles data from a variety of sources, evaluates and analyzes data, prepares detailed information, reports and recommendations.
  9. Meeting management, including coordinating, scheduling and independently preparing complex activities within a multitude of complex schedules. Setting up meeting connectivity testing
  10. Coordinate and organize the flow of highly sensitive and confidential materials and information.
  11. Resourceful in finding appropriate solutions to problems and initiative in presenting alternatives and implementing solutions to endure effective change.
  12. Establishes and maintains digital and paper filing systems to track and archive all communications; maintain document and database management.
  13. While maintaining a high level of confidentiality and sensitivity, tact, and professionalism, acts as a liaison with other departments, senior level external callers, stakeholders, as well as internal contacts from all levels of the organization.
  14. Work independently and as part of a team on special non-recurring and ongoing projects.
  15. Assist the Senior Budget and Operations Analyst as needed.
  16. Independently, coordinate a wide range of events. Assumes full responsibility of activity once provided a minimal guideline. This includes scheduling, material preparation, identifying budget, determining catering needs, facility needs and scheduling of participants.
  17. Prepare a wide range of materials and special reports from source material in files, including highly confidential material.
  18. Contract file maintenance, set up and monitoring.
  19. Perform other duties and work tasks necessary and required for successful and efficient project management and achievement of the organizations missions and, goal and objectives.
  20. Proficient in MemorialCare applications as needed: Kaufman Hall, PeopleSoft, On-Base, etc.

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities.
