Job Overview:

Reporting to the Assistant Program Delivery Manager, the Program Coordinator works closely with internal vendors and key stakeholders to facilitate and support local Amazon events taking place in key buildings within Amazon corporate offices.

Amazon is a fast paced, demanding corporate environment and JLL is here to provide professional, service excellence. The Program Coordinator responds to customer requests and inquiries to ensure on-site events are executed smoothly and professionally.

Work Scope:

  • Execute on-site events smoothly and professionally
  • Respond to customer requests and inquiries
  • Coordinate resources for event space preparation
  • Document trends and identify process improvement opportunities
  • Influence improvement to policies and procedures as related to internal events and spaces
  • Other duties as assigned in support of the Amazon Meetings & Events program

Essential Functions:

  • Process event requests and correspond with Amazon customers
  • Coordinate and lead planning and walkthrough meetings
  • Disseminate information to large audiences
  • Provide on-site coverage and troubleshooting during high-impact events
  • Organize and compile event data metrics
  • Create and maintain standardized event documents
  • Respond to and act on customer feedback
  • Create and update various tracking and organizational documents
  • Support inter-vendor communications
  • Perform other duties as assigned by the Program Delivery Manager

Essential Physical Capabilities:

  • Ability to move around office buildings and event spaces
  • Capability to operate personal computer, software as appropriate for project and all other office equipment
  • Meet highest attendance and punctuality requirements

Essential Knowledge and Skills:

  • Multitasking ability and attentiveness
  • Poise and diplomacy in interactions
  • Ability to apply principles of rational systems
  • Interpret instructions in various forms
  • Initiative to assume additional responsibilities
  • Priority-setting and deadline-meeting skills
  • Advanced competence with MS Office and other software programs
  • Basic business math skills
  • Effective verbal and written communication
  • Excellent grammar and proofreading abilities
  • Enthusiasm for building and maintaining event support

Experience:

  • 2+ years' experience in event coordination or event administrative support
  • Proficiency with Microsoft Office
  • Microsoft Visio or CAD experience (preferred)
  • High level of accuracy and attention to detail
  • Positive, professional, customer-service oriented personality
  • Excellent interpersonal and communication skills
  • Ability to work independently with little direction

Education:

  • Bachelor's Degree or event management and relevant hospitality experience
