What this job involves -

Join our team as a Facility Coordinator in Montgomery, AL, where you'll play a vital role in ensuring smooth operations across our manufacturing/distribution facility. This position requires hands-on experience in industrial environments and strong organizational skills, familiarity with and facility coordinator experience in a manufacturing, distribution and/or warehouse environment is required.

Your day to day:

Key Responsibilities

  • Coordinate daily facility operations, maintenance schedules, and repair activities
  • Monitor inventory levels of facility supplies and maintenance materials
  • Ensure compliance with OSHA, environmental, and safety regulations
  • Assist in managing vendor relationships and contractor oversight
  • Maintain accurate documentation of maintenance activities and facility records
  • Support continuous improvement initiatives for operational efficiency
  • Respond to facility-related emergencies and coordinate resolution
  • Act as a point of contact for vendors and service providers; schedule and coordinate onsite visits, repairs, and inspections.
  • Track and process work orders, maintenance logs, and vendor invoices; maintain accurate documentation.
  • Assist in preparing and updating work orders, purchase orders, and compliance records.
  • Collaborate with internal client contacts to ensure facility needs are met and communicated effectively to vendors.
  • Help manage preventative maintenance schedules and recurring facility services (janitorial, HVAC, pest control, etc.).
  • Respond to facility-related issues and requests in a timely manner, and in accordance with the identified client SLAs
  • Maintain adequate/appropriate inventory of supplies and equipment as needed (general office, FM specific).
  • Support emergency preparedness efforts and help implement safety procedures and building access protocols.
  • Provide general administrative support to the Facilities Manager, including data entry, reporting, and coordination of special projects.
  • Service general office and supply areas, including breakrooms and vending areas (stocking supplies, managing inventory, handling general cleanliness); managing catering activities as needed.
  • Handling general mail and shipping, including bulk product shipments as needed
  • Coordinating FM visitors/vendors and conducting safety briefings

  • 2+ years experience in facility coordination within manufacturing, distribution, or warehouse environments
  • Proficient with CMMS systems and standard facility management software
  • Working knowledge of industrial equipment, HVAC, electrical, and plumbing systems
  • Experience with preventative maintenance programs
  • Demonstrated ability to prioritize tasks in a fast-paced environment
  • Strong problem-solving skills and attention to detail

Work Environment

  • Production-based with regular interaction with clients, vendors and regular walk-throughs of building and service areas; comfortable wearing and using PPE.
  • Standard working hours are M-F, 8am-5pm; some additional hours (including nights, weekends and holidays) required based on critical work being performed and/or resolving emergency situations.
  • Must be able to stand for extended periods of time, carry up to 25+ pounds, bending and lifting materials as needed.
