Responsibilities

Please note this is a temporary position with Chemspeed, a division of Bruker. If selected for this opportunity, you may be employed by a third party vendor to Bruker.

New hybrid temporary project opportunity based in North Brunswick, NJ for a Business Associate to provide daily support with Chemspeed business operations.

Accounting & Administration:

    Provide daily telephone and mail assistance: answer and coordinate messages; collect and sort mail
  • Receive, prepare, and send shipments, including resolution of customs clearance requirements
  • Order office supplies and equipment, business cards and related materials as required
  • Maintain updated liquidity forecast, coordinate with AP on invoice processing and transfers
  • Prepare, review, and process expense reports in accordance with company guidelines
  • Collect and file State Sales Tax and coordinate Federal Income Tax with Accountant
  • Provide administrative assistance with accounting and revenue recognition activities.

Sales Order Processing:

  • Create quotes in SAP, monitor for new orders in sales mailbox, and process in SAP upon receipt.
  • Prepare documentation for vendor onboarding, send order confirmation after PO receipt, order Huber units if applicable
  • Communicate order status with customer, process shipment email, monitor progress through to arrival at customer site
  • Coordinate weekly call with PPLS and update US Team on Post Sales order status
  • Post POs receipts to US Team channel each week
  • Track all order shipments and provide timely customer communication
  • Coordinate customs and shipment requirements with third party service providers.

Marketing/ Sales:

  • Manage US-based in events in alignment with Chemspeed Management team
  • Coordinate show registration along with pre- and post-show marketing activities, booth supplies, logistics, shipments
  • Organize yearly trade show call to determine participation and host pre- and post- show team meetings
  • Coordinate US promotion activities for all webinars: invite existing customers and provide assistance to sales team
  • Prepare and assist with customer visits to office
  • Manage phone lead generation activities as appropriate
  • Update Customer list as required
  • Assist with service contract tracking and quotes as required
  • Manage inventory and track repair activities.


Qualifications

  • Bachelor Degree in Business Administration or related field.
  • Minimum 3 years sales and service administrative support work experience in a commercial work environment.
  • Strong verbal, written, computer, technical, communication skills with oral and written English fluency required.
  • Advanced MS Office, Teams, SAP work experience required.
  • Proven strength in customer care, response, and support with excellent email and telephone communication skills.
  • Strong business acumen with planning, organizational, coordination, communication, administrative management skills.
  • Excellent attention to detail and data accuracy with strong and constructive problem solving skills.
  • Demonstrated ability to prioritize and complete tasks independently and as team player and foster positive business relationships with all parties.
  • Proven ability to effectively manage multiple priorities and resources to deliver high quality results in a timely manner.
  • Operates with a high standard of ethics, integrity, and professionalism.
  • Ability to satisfactorily complete position training and compliance requirements.
  • Ability to learn and maintain knowledge of company tools, products, and applications.
