POSITION SPECIFICS

The College of the Liberal Arts is seeking an Administrative Assistant to support a department head and numerous faculty processes, from hiring to promotion and tenure. This role is great for individuals looking for variety in their next career move.

Most of the Administrative Assistant's responsibilities will be focused within the Department of Communication Arts and Sciences (CAS). This position is part of the administrative team who collectively supports this department and the departments of Philosophy (PHIL) and Applied Linguistics (APLNG).

The Administrative Assistant will work both independently and collaboratively, utilizing organizational skills and a high level of professionalism and discretion, to complete this position's responsibilities, which include but are not limited to:

  • Coordinate both the faculty promotion and tenure process for the Department. Ensure promotion packets are accurate, complete, and adhering to deadlines.

  • Responsible for coordinating the faculty recruitment process. Prepare advertisements for faculty positions, arrange campus visits, and work with the Department Head and event manager to coordinate all logistics of the visits.

  • Process paperwork for faculty appointments and supplemental payments.

  • Assist the Department Head with obtaining information for projects, determining priorities to meet all deadlines, composing and typing correspondence, and coordinating collection of data.

  • Manage the Department Head's calendar.

  • Coordinate faculty office moves and renovations; serve as backup to the facilities coordinator. Serve as backup to the Administrative Assistant responsible for the above duties for PHIL and APLNG.

The Administrative Assistant will also play a key role in ensuring faculty compliance with Penn State's policies and procedures - reading and understanding the policies and procedures to be able to give guidance to faculty members.

After training provided by the University, College, Department, and self-paced e-learning, the Administrative Assistant will work with various software including Microsoft Office 365, Workday, and DocFinity, as well as those specific to Penn State:

  • WorkLion (collection of general HR information and resources, along with an inquiry system)

  • iStart (immigration management system)

  • FAIS (Faculty Activity Insight System)

  • PTORP (Promotion and Tenure Online Reviewing System)

Qualifications:

  • Demonstrated ability to be detail-oriented

  • Excellent communication (both verbal and written) and interpersonal skills

  • Driven to provide excellent customer service

  • Ability and willingness to learn job-related software

  • Demonstrated ability to be proactive and take initiative

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

If filled as Administrative Assistant - Senior Support, this position requires: Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None If filled as Administrative Assistant - Intermediate Support, this position requires: General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $61,000.00.
