Position: Office Coordinator

Department: Compliance

Reporting to: Director of Compliance

Location: Lenexa, KS - Onsite

Overview:

Advisors Excel is looking for a proactive and detail-oriented Office Coordinator for our Lenexa location. You will play a crucial role in ensuring the smooth day-to-day operations of a dynamic and growing office. This office will host employees from various departments, and your role will be important in fostering a positive workplace culture and building strong connections with other company locations to support our OneAE initiatives. Additionally, you will support the Compliance Surveillance Team by managing data transmissions across various applications, ensuring accuracy and efficiency.

What you'll do:


  • Oversee and manage all office services, facilities, and operational efficiencies at the Lenexa office
  • Assist with business meetings and events, including setup, breakdown, and coordination of refreshments
  • Manage office supplies, snack and beverage inventory, mail services, and property maintenance to ensure a seamless workplace environment
  • Maintain relationships with local vendors, property management, and other service providers
  • Assist IT with equipment replacement and setup to maintain smooth technology operations
  • Manage data for the Compliance Surveillance Team, ensuring accurate and timely file transmissions between various applications
  • Review and extract data from the ProSurv system and accurately input it into designated files
  • Communicate promptly with financial custodians via email and phone to address and resolve any data discrepancies
  • Collaborate with the main office HR team on onboarding and offboarding tasks, ensuring a smooth transition for new and departing employees
  • Participate in the interview process by providing potential hires with benefits information and answering their questions as needed
  • Coordinate with the AE Culture Team to ensure seamless execution of company-wide events, including monthly meetings and social gatherings
  • Collaborate with the AE Community Engagement Team to coordinate volunteer opportunities for the Lenexa office
  • Perform other duties as assigned to support the overall success of the Lenexa office



Experience you'll bring:


  • Minimum of 5 years' experience working in an office environment
  • Proven experience in office administration
  • Enthusiastic, dependable, and self-motivated with a strong work ethic
  • Confident, professional, and articulate in both written and verbal communication; able to build rapport with diverse personality types
  • Strong organizational skills with the ability to manage multiple projects and competing priorities in a fast-paced environment
  • Proficiency in Microsoft Office Suite
