Job Summary

Provide comprehensive administrative support for JLL Engineering's compliance program activities and facility operations, bringing a proactive and hands-on approach to facilities management while supporting reporting functions and vendor relationships.

Job Responsibilities

Operations

  • Input, review, and complete work orders, invoices, and purchase orders with high accuracy to support financial accounting and approval processes
  • Address and efficiently route incoming calls, emails, and inquiries from team members, suppliers, and clients
  • Assist Facility Managers with proposal preparation, ensuring all support teams review and provide approval
  • Submit proposals to clients on schedule and secure purchase orders prior to project start
  • Proactively manage work orders (both preventative maintenance and reactive requests) for on-time completion, first-time fix, and proper documentation
  • Support and coordinate with subcontractors on work order-related inquiries while ensuring compliance and timely completion
  • Manage vendor relationships proactively, particularly regarding Corrigo needs and ensuring deadlines are met
  • Coordinate with team on financial and budget-related issues
  • Identify operational challenges, suggest process improvements, and request assistance as needed

Reporting & Administrative Support

  • Create, analyze, and maintain detailed spreadsheet reports and Gantt charts to compile and track operational and financial facilities data
  • Perform work order system data mining and analysis using Corrigo
  • Develop and maintain efficient workflow processes
  • Provide logistical support for building access and serve as backup during manager's absence

Other

  • Complete additional duties and tasks as assigned
  • Support special projects as needed (logistical assistance rather than full project management)

Qualifications

Education

  • Required: High school diploma or equivalent
  • Preferred: 2-year degree

Experience

  • Required: 2+ years of related facilities management experience with hands-on facilities knowledge
  • Preferred: Experience with Corrigo work order management system

Skills and Knowledge

  • Required:
    • Excellent verbal and written communication skills with ability to use facilities management terminology
    • Strong proficiency in Microsoft Excel (creating spreadsheets, Gantt charts, and data analysis)
    • Experience creating and managing proposals
    • Proactive problem-solving approach with willingness to suggest process improvements
    • High level of initiative, drive, and self-motivation
    • Ability to work independently with minimal supervision
    • Strong organizational and time management skills
    • Excellent internal and external customer service orientation with a "team player" attitude
    • Adaptability to changing work environments and assignments
    • Comfort with making decisions and learning from mistakes
    • Must have reliable transportation and valid driver's license

Work Environment

  • Monday-Friday, preferably starting around 7-7:30 am
  • Primarily on-site role
