Medical Records Coordinator - Medical Examiner Office

Hourly Range: $28.21 - $42.30



Job Summary: The Medical Records Coordinator is responsible for the accurate management, organization, and confidentiality of medical and forensic records within the Medical Examiner's Office. This role ensures timely processing, storage, retrieval, and distribution of sensitive case files and autopsy reports in compliance with legal and regulatory standards. The Medical Records Coordinator works with the Operations Manager, Medical Examiners, Medicolegal Death Investigators, law enforcement agencies, and the public, while ensuring full compliance with confidentiality and data privacy regulations.



Job Duties:




  • Manage and maintain complete, accurate, and secure medical records, autopsy reports, forensic documentation, and case files using case management software


  • Release the autopsy reports, ancillary test results, and autopsy photographs to the appropriate referral counties


  • Receive, review, and process open records requests in accordance with all applicable local, state and federal regulations pertaining to such records release


  • Coordinate the revenue invoicing/collection, deposits and accounts receivable for revenue generation activities of the department


  • Generate fee agreement letters for expert witness testimony/consultation and subsequent invoices and perform other invoicing within the office as directed


  • Carry out assigned administrative duties and maintain the inventory of office supplies pertinent to records management


  • Serve as a resource to clerical office operations and participate in the coordination of educational experiences for student interns from various colleges and universities in the field of death investigation


  • Assist with planning and executing the annual Milwaukee County Medical Examiner's Office Forensic Science Seminar and serve as backup for the Forensic Administrative Assistant role if needed


Minimum Qualifications:



  • Current resident of the State of Wisconsin
  • Associate degree in health information management, medical records, or related field
  • At least one (1) to three (3) years handling medical records-especially in healthcare/medical examiner settings


Knowledge, Skills and Abilities:



  • Preferred experience:


    • Bachelor's degree in health information management, medical records, or related field
    • Experience providing billing services is highly desirable
    • Supervisor and/or leadership experience
    • Registered Health Information Administrator (RHIA) certification preferred
    • Familiar with death-investigation documentation, scene reporting, and statutory record-keeping under Wisconsin law


  • Preferred skills:


    • Technical Proficiency: Comfortable using electronic case management software and fluency in Microsoft Office
    • Attention to Detail: Strong organizational skills and meticulous attention to records' completeness and accuracy
    • Communication: Solid written and verbal communication to liaise with internal staff, external agencies, attorneys, next of kin, and law enforcement
    • Privacy Awareness: Deep understanding of privacy protections, redaction techniques, and legal record-release procedures
