What this job involves - The Facilities Coordinator provides essential operational support for a client in the pharmaceutical industry by managing pest control programs, conducting GMP fit walks, MRO and Sourcing assistance, and offering administrative assistance to both the pharmaceutical client and the Facilities Manager. This role involves submitting and tracking work notifications while assigning work orders to JLL employees and janitorial vendors to ensure timely completion of facility maintenance tasks in compliance with stringent pharmaceutical standards. The coordinator serves as a key liaison between stakeholders, maintaining accurate documentation of all service activities and facility inspections while responding to inquiries with professionalism. Success in this position requires exceptional organizational abilities, meticulous attention to detail, and strong communication skills to effectively prioritize responsibilities in this regulated environment, ultimately contributing to compliant, safe, and well-maintained operations that support the client's pharmaceutical manufacturing activities.

What is the day to day?

Facilities Management

  • Coordinate with internal departments and external vendors to schedule facility repairs, maintenance, and improvements
  • Coordination of offsite storage moves to and from campus
  • Act as a contact for facility-related issues, directing requests to appropriate team members / service providers
  • Maintain inventory of facility supplies and equipment, placing orders as needed
  • Coordinate with contractors and vendors to ensure timely completion of services and projects
  • Process and track service requests through the facilities management system
  • Assist MRO/Sourcing as needed
  • All other duties and assigned tasks

GMP FIT Walks (Facility Inspection Tour)

  • Conduct regular FIT Walks specifically within Good Manufacturing Practice (GMP) areas to identify maintenance issues, safety concerns, and compliance requirements
  • Document inspection findings using standardized protocols and digital tools including work order creation
  • Follow up on identified issues in GMP environments to ensure timely resolution and compliance
  • Collaborate with Quality Assurance to address and remediate any compliance gaps
  • Prepare reports on FIT Walk findings for management review and regulatory purposes

Pest Control Program Management

  • Manage relationships with qualified pest control vendors
  • Schedule regular preventive pest control services and emergency treatments as needed
  • Respond promptly to pest-related issues and complaints
  • Maintain detailed documentation of all pest control activities in compliance with regulations
  • Ensure pest control vendor conducts regular inspections to identify potential pest entry points or harborage areas
  • Ensure all pest control methods comply with GMP requirements and safety regulations
  • Ensure pest control vendors are up to date on required training
  • Draft quarterly pest control reports and provide to GNE

Administrative Functions

  • Maintain accurate records of all facility-related documentation
  • Generate regular reports on facilities operations, costs, and key performance indicators
  • Support budget planning and cost control initiatives for facility operations
  • Assist with development and implementation of facility policies and procedures
  • Assist with any assigned administrative needs
  • Order office supplies using client portal

Required Qualifications

  • Associates degree in facility management, business administration, or related field (or equivalent experience)
  • 3+ years of experience in facilities management, preferably in a GMP environment
  • Working knowledge of GMP regulations and compliance requirements
  • Understanding of building systems and maintenance practices
  • Proficient in facilities management software and MS Office applications
  • Experience with using SAP or other work order system software
  • Experience in MRO/Sourcing
  • Strong analytical and problem-solving abilities
  • Excellent communication and interpersonal skills
  • Customer service oriented

Preferred Qualifications

  • Experience with building systems and maintenance practices
  • Understanding of health and safety regulations related to facilities management
  • Familiarity with pest control management best practices
  • Project coordination experience
