Title: Department Administator - Legal/Strategy
Location: Clayton, MO
Salary: $70,700 - $90,500
Focus: The Department Administrator is responsible for playing a key role in supporting a dynamic group of strategy, legal and real estate professionals. This role will offer support in the day-to-day operations of the department by supporting the teams to schedule meetings and trips, manage calendars, coordinate/plan events, act as a liaison with other department and outside parties, fielding phone calls, etc.
Department Administrator Essential Job Functions:
- Represent the department to internal and external stakeholders by always providing the highest level of customer service through answering multiple phone lines, screening calls, providing information, and directing inquiries to the appropriate person.
- Support the management of calendars including adeptly making daily and weekly adjustments as required.
- Prepare purchase requisitions, travel arrangements, and expense reports.
- Consolidate and prepare information and presentations; organize meeting materials and schedule meetings as directed.
- Data entry, tools/systems administration; coordinate/plan meetings and events.
- Routine office work including printing, copying, and scanning of documents; emailing documents; maintaining office equipment - scanner, printers, copy machines.
- Collaborate with Records Management regarding the department's records.
- Works closely with other administrators to coordinate calendars with executives and team members from other departments and provide back up to them.
- Maintain, organize, and preserve the confidentiality of corporate strategy and M&A files and records
Department Administrator Minimum Requirements:
- High school diploma or equivalent; Associate's or Bachelor's Degree* in preferred
- Minimum of 4 years of experience as a legal secretary, administrative assistant, or comparable role; Corporate law department or law firm experience preferred.
- Demonstrated proficiency with Microsoft Office products; Knowledge of Serengeti tracker, SAP and Documentum preferred.
- Energetic and solution-oriented with ability to handle multiple priorities and meet critical deadlines with commitment to details.
- Excellent planning, organizational, and communication (written and oral) skills.
- Must possess ability to interface with internal and external personnel and clients.
- Professional demeanor with the ability to interface with all levels of the organization.
