Senior Executive Assistant

Hourly Pay Rate $28.21 - $42.30

Job Summary: The Senior Executive Assistant for the Office of the Comptroller provides high-level administrative and strategic support to the Comptroller and executive leadership team. The primary objective of the role is to facilitate the efficient execution of the Comptroller's responsibilities by managing communications, coordinating complex projects, and ensuring timely follow-through on key initiatives. The position exists to serve as a trusted liaison between the Comptroller's Office and internal and external stakeholders, enabling effective decision-making and alignment with County-wide financial and operational goals.


Essential Responsibilities:



  • Manage calendars, schedule meetings, prepare agendas, and coordinate logistics for the Comptroller and senior staff. Screen and prioritize communications and ensure timely follow-up. Working assignments are non-standard, sometimes confidential, requiring ability to adapt and anticipate Comptroller needs based on changing priorities.
  • Assist in tracking and coordinating departmental projects, board requests, audits, and financial reports. Monitor deadlines and help ensure deliverables align with executive goals and priorities
  • Serve as the primary point of contact between the Comptroller's Office and internal departments, and external partners. Draft correspondence, prepare and review reports utilizing Microsoft skills as well as coordinate and control 2nd and 3rd floor Conference rooms. Manage Office of the Comptroller Social Media accounts and webpage.
  • Handle confidential personnel, legal, or budgetary matters at the direction of the Comptroller. Provide research and recommendations on sensitive or time-critical topics.
  • Provide backup administrative support for the Comptroller's management team, assist with invoice processing (Knowledge Services, Dell, etc.), credit card payments, budget tracking, and other office operations as needed.
  • Prepare and edit confidential memos, PowerPoint presentations, and reports. Maintain department files, official records, and executive materials, ensuring accuracy, version control, and compliance with County and departmental policy.



Minimum Requirements:



  • Current Wisconsin Resident
  • High School Diploma or GED equivalent
  • Two (2) or more years of Office Management with previous Administrative Assistant experience or related activities.
  • Must be fully capable of handling sensitive communications and work product while maintaining strict confidentiality of these and other matters observed in the daily course of business
  • Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets. Including Microsoft Office, Adobe, Legistar, Infor and DocuSign


Preferred:



  • Associates or higher college degree is preferred.


Additional Knowledge, Skills, and Abilities: Anticipate and manage risks to executive productivity, safeguard the integrity and confidentiality of the Office of the Comptroller. Excellent oral and written communication skills are required.
