UI Health is seeking a Medical Education Program Coordinator to join our Graduate Medical Education team. This role will serve as an administrative contact in the Graduate Medical Education (GME) Office for resident and fellowship training programs at UI Health. The MEPC is expected to respond to process resident/fellow appointments, licenses, visas, leaves, loan deferment, letters of employment verification, and training systems access. Further, the MEPC will respond to trainees' questions concerning medical education program requirements.

Duties & Responsibilities:
  • Administer appointments for graduate medical students. Process Human Resources-related transactions for new, continuing, and transferring residents and fellows, including but not limited to new hires, separations, and leaves of absence.
  • Serve as initial contact for incoming residents and fellows; advise and respond to questions regarding university policies, financial aid guidelines, GME policies, licensing, and immigration requirements (where appropriate).
  • Review applicant records for accuracy and ensure that credentials are valid. Maintain employment files, including licensing, visa applications, appointments, and training program history.
  • Coordinate with faculty and various school units to maintain accurate records. Ensure employment contracts are completed for compensated medical education programs.
  • Respond to questions related to Accreditation Council for Graduate Medical Education (ACGME) requirements, National Resident Matching Program (NRMP), Illinois Department of Financial and Professional Regulation (IDFPR), Educational Commission for Foreign Medical Graduates (ECFMG), Graduate Medical Education Committee (GMEC), and other policy-making bodies as appropriate.
  • Serve as UIHealth's ECFMG Training Program Liaison (TPL). The TPL is responsible for coordinating the sponsorship application process on behalf of the TPL's institution with both prospective and current J-1 physicians and for having knowledge of the J-1 regulations. The TPL works with both ECFMG and J-1 physicians to ensure that the host training site and its J-1 trainees are in compliance with federal requirements for participation. TPL responsibilities include, but are not limited to: a. initiating and managing the sponsorship application process to ensure timely submission of accurate and complete b. documentation, including primary-source verification of the graduate medical education contract. c. monitoring the arrival and on-going participation of J-1 physicians. d. notifying ECFMG in advance of any proposed changes in a physician's approved training program or activity.
  • Reviewing and filing of all new, renewals, and extensions with the Illinois Department of Financial and Professional Regulations (IDFPR) (125) Temporary Physician Licensure.
  • Participate in policy development with GME leadership, and GME committees; advise program directors and coordinators on policies and procedures.
  • Assist in developing and maintaining systems for tracking status and compliance around learning modules, core curriculum, ethics training, and other employment requirements.
  • Contribute to website content.
  • Other duties and projects as assigned
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:


1. High school diploma or equivalent.

2. Any one or combination totaling four (4) years (48 months), from the categories below:

A. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • Associate's Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

B. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems

3. Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.

Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.

Preferred Qualifications:
  • Demonstrated experience in Human Resources or administration in a university medical center, medical school, or graduate medical education office
  • Excellent communication skills to work with faculty, residents, fellows, students, staff, and visitors.
  • Organizational skills with ability to prioritize multiple tasks
  • Proficient in Microsoft Word and Excel, and able to learn how to use various GME-specific software packages, such as New Innovations.
  • Experience with Banner human resources software preferred but not required.
