Job Description

The Outbound Specialty Mail - Claims role is responsible for processing and fulfilling a variety of claim-related mailing requests using specialized mailing methods. This position plays a critical role in ensuring timely, accurate, and compliant distribution of claim documentation, while also maintaining up-to-date records in the claims system.

Key Responsibilities:

  • Process and prepare outbound claim-related documents using specialized mailing methods, including certified mail, overnight courier services, and bulk mailings.

  • Review requests for completeness and accuracy prior to processing to ensure proper handling and mailing.

  • Coordinate with internal departments to clarify and fulfill mailing requirements in accordance with service level expectations.

  • Accurately update the claims system with fulfillment status, mailing method, tracking numbers, and completion dates.

  • Track and confirm delivery of specialty mail items, following up as necessary to ensure successful receipt.

  • Manage returned or undeliverable mail according to established procedures and escalate issues when appropriate.

  • Ensure all mailing processes comply with internal policies, client requirements, and applicable regulations.

  • Maintain organized logs and documentation of all outgoing specialty mail activity.

  • Support process improvements, contribute to documentation updates, and participate in training as needed.

  • Perform other duties as assigned by management.

Preferred Qualifications:

  • 1-2 years of experience in a mailroom, administrative, or claims processing environment preferred.

  • Strong attention to detail and organizational skills.

  • Familiarity with mailing systems and tracking tools (e.g., USPS, FedEx, UPS).

  • Basic knowledge of claims processing or insurance industry is a plus.

  • Proficient in data entry and comfortable using claims or document management systems.

  • Ability to work independently and manage multiple tasks in a fast-paced environment.

  • Excellent communication and teamwork skills.

Work Location:

  • Due to the nature of the work, this is an in-office position. Candidates for this role must be able to commute to the office location.

Compensation

Compensation offered for this role is $17.88 - 26.93 per hour and is based on experience and qualifications.
