Duration: 6 months

Location: Newark, NJ

Schedule: Hybrid-Tuesday, Wednesday, Thursday in the office - no exceptions.

We are seeking an astute, confident Administrative Assistant who is comfortable managing multiple projects simultaneously, has a sharp eye for detail, and excels at scheduling. This role provides the opportunity to interact with executives, stakeholders, and vendors across the technology team. The ideal candidate will not only be detail-oriented and capable of multitasking but also eager to contribute to and shape the growth of staffing initiatives. Here is What You Can Expect on a Typical Day:-

  • Serve as the main point of contact for all aspects of hiring, from drafting job descriptions to conducting interviews and managing verbal offers.
  • Act as the 'go-to' for candidates, the technology group, stakeholders, and vendors, handling all incoming calls, emails, and messages related to the hiring process.
  • Coordinate interviews across the Technology Solutions group with a strong focus on scheduling.
  • Run daily scrum meetings to update senior leadership on hiring status.
  • Manage complex record-keeping and resume submissions.
  • Edit documentation and take meeting minutes.
  • Draft and edit emails, presentations, reports, agendas, summaries, and other business correspondence.
  • Support the onboarding process for new employees and consultants to ensure a seamless experience for all new starters.
  • Manage the offboarding process efficiently.
  • Streamline and organize data and documentation with precision to maximize efficiency.



Skills:

  • 2+ years of administrative support experience.
  • Highly organized, with the ability to manage multiple tasks while maintaining strong attention to detail.
  • Strong time management and prioritization skills, ability to thrive in a fast-paced environment with shifting priorities.
  • Professional interaction with multiple stakeholders.
  • Ownership of issues from start to finish.
  • Proactive in creating and implementing processes to improve team efficiency.
  • Creative problem-solving skills.
  • Serve as a key contact and representative of the technology organization.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Work independently and collaboratively as a team player.
  • High proficiency in MS Office suite (Outlook and Excel), with the ability to quickly learn new software.
  • Knowledge of JIRA is preferred.


Education:

  • Bachelor's degree is desirable.
