Job Description Responsibilities:
- Acts as part of the receptionist team, serving as the primary point of contact for the main company reception line.
- Co-manages the corporate switchboard, RingCentral call tree, fielding all business calls, website inquiries, and routing calls accordingly.
- Coordinates reception coverage with primary and secondary back-up support teams.
- Maintains, audits, and updates call transfer guide to reflect business changes and needs.
- Produces inbound call metrics, reports trends to key stakeholders, and identifies opportunities for improvement.
- Greets all visitors in a friendly and professional manner, announcing on-site visitors and coordinates with appropriate business point of contact to escort the visitor to the designated meeting/event location.
- Coordinates with building security and property management to ensure office upkeep and personnel safety.
- Oversees the receipt and delivery of incoming and outgoing mail & packages, supporting the centralized mail process in place for the company.
- Supports internal group administrative and engagement efforts, SharePoint, Yammer, email communications, etc..
- Contributes to the safety and security of the office environment by monitoring access of on-site visitors utilizing the access control platforms & software.
- Provides additional support to the office services team on a day-to-day basis, assisting with opening & closing procedures, maintaining stock & inventory, and managing upkeep of breakroom & first aid/safety equipment.
- Supports departmental employee engagement efforts by aiding in the planning and execution of local events & initiatives, in line with the annual plan and budget.
- Maintains service & support standards by aligning local procedures with departmental best practices and peer guidance.
- Manages local conference rooms and associated calendars by ensuring efficient utilization of available resources and assuring that they are adequately equipped with supplies, technology resources are functional, and catering needs are handled as requested by internal customers.
- Supports the Office Services team with all space management, via software platform utilization.
- Responsible for maintaining, stocking, and taking inventory of front office supplies.
- Oversees and tracks local vendor deliverables to ensure consistent and accurate accounting procedures.
- Receives, manages, and completes service tickets associated with departmental tasks, including but not limited to supply orders, access control, mail & shipping support, and general inquiries.
- Promotes office health & safety measures by serving as office fire safety delegate and receiving CPR training & certification.
- Must be available to work onsite, Monday through Friday from 8am to 5pm local time. Variations to these hours will be based on business needs and will be communicated accordingly in advance.
- Serves as a backup resource for critical failover functions, including claims check printing and mailroom operations, during unforeseen events or disruptions affecting the primary location.
- Collaborates with teams such as Claims, Accounts Payable, and Mailroom staff to ensure seamless execution of failover processes when required.
- Maintains and tests failover equipment and supplies regularly to ensure readiness, and participates in periodic training and cross-training sessions to retain functional knowledge of these operations.
- Acts as a liaison between the local office and Business Continuity/Disaster Recovery teams, ensuring clear and consistent communication during the activation of failover procedures.
- Other duties as assigned.
Travel Requirements: Under 5% required. Qualifications:
- High school diploma or equivalent required, some college coursework preferred.
- Prior experience in a customer service-related position.
- Prior experience in a corporate receptionist or office services-related position is preferred.
- Prior insurance experience is preferred (to address the complex understanding of the business required to effectively field calls).
- Proficient in the use of computer programs, including Word, Excel, and Outlook (MS Office Suite).
- Experienced in greeting and supporting guests, as well as employees, with inquiries using proper etiquette and professionalism.
- Team spirit, enthusiasm, and ability to cooperate with others to accomplish goals.
- Keyboard skills, minimum 40 wpm.
- Strong verbal skills for enunciation and clarity in speech.
