Academic Program Coordinator
Job Summary
PLEASE NOTE: THE POSITION IS LOCATED IN FRESNO, CA. Duration through June 30, 2026. Combination of on-site work on campus and in local schools. This position will oversee programming for the Caruthers Unified School District Junior Doctors Academy and Doctors Academy. They will work closely with staff and students at Caruthers Elementary School and Caruthers High School. Must have reliable transportation.
Under the supervision of the Program Supervisor, the Academic Program Coordinator (Temporary) will provide short-term coordination and continuity support for the Doctors Academy (high school) and Junior Doctors Academy (middle school) in Caruthers through June 30, 2026. This role is designed to support existing program operations during a defined coverage period and focuses on implementing established activities, supporting student advising needs, maintaining key partnerships, and ensuring day-to-day program continuity across participating sites. This is an in-person position, providing support to the students in Caruthers 3-4 days a week and team meetings in Fresno 1-2 days a week.
The ideal candidate will be comfortable stepping into an established program, quickly learning systems and processes, and maintaining momentum through the end of the academic and program cycle.
The successful candidate will have experience working with K-14 students in college and career readiness or health pathway programs, strong organizational skills, and the ability to manage multiple priorities in a dynamic, student-centered environment.
Key Responsibilities Program Coordination & Implementation
- Coordinate and support the implementation of existing Doctors Academy Program curriculum and activities in alignment with established program goals and timelines.
- Organize program activities including workbased learning experiences, collegegoing field trips, enrichment activities, and summer programming.
- Support logistics for regional events, conferences, and clinical exposure activities.
- Monitor program activities to ensure smooth operations across participating sites.
Student Advising & Support
- Provide academic and collegegoing advising support to participating students, both individually and in groups.
- Collaborate with schoolsite staff to track student academic progress and identify support needs.
- Assist with academic support planning, probationary meetings, and student retention efforts.
- Communicate with students and families to support program participation, academic success, and postsecondary access.
Data Tracking & Reporting
- Maintain accurate documentation of student participation, contacts, and program activities.
- Utilize established systems and procedures to track student outcomes and program metrics.
- Assist with preparation of routine program reports and data summaries for internal and external stakeholders.
Outreach & Partnerships
- Support ongoing outreach and recruitment efforts using existing strategies and materials.
- Maintain established relationships with K-12 schools, higher education partners, and community organizations.
- Coordinate meetings and communications with partners and stakeholders as needed.
Administrative & Department Support
- Assist department leadership with coordination of student staff, volunteers, or temporary staff as needed.
- Support departmental events, meetings, and related program activities.
- Perform other duties as assigned in support of Doctors Academy and departmental priorities.

Department Description UCSF Fresno is a regional campus of UCSF School of Medicine located in California's Central Valley and the Department of Undergraduate Medical Education (UME) is the administrative unit that oversees the Office of Health Career Pathways (OHCP). The OHCP was established to provide programs and services that lead to student academic success and exploration of research and health careers, as well as better coordinate and increase the success of existing health pathway programs at UCSF Fresno. UME provides services for 100 or more third year students from UCSF as well as 300 or more visiting 4th year medical students for clerkship rotations. UCSF Fresno has several accredited Residency & Fellowship programs under the auspices of Graduate Medical Education. The UCSF Fresno UME Office is responsible for implementation of all strategic directives for medical education at the Fresno campus and for ensuring that those who serve undergraduate student learners are actively engaged in the highest quality learning and teaching environment with a strong commitment to diversity and UCSF's PRIDE values.
Required Qualifications
- Bachelor's degree in education, public health, social sciences, or a related field, or an equivalent combination of education and relevant experience.
- Experience advising or supporting K-12 and/or collegelevel students, particularly those from underrepresented or educationally disadvantaged backgrounds.
- Working knowledge of college preparation pathways, admissions processes, and financial aid basics.
- Experience working with diverse student populations; demonstrated cultural competence and commitment to educational equity.
- Strong organizational and timemanagement skills with the ability to prioritize multiple tasks and deadlines.
- Effective written and verbal communication skills.
- Ability to build and maintain positive working relationships with students, families, school personnel, and community partners.
- Valid driver's license and reliable transportation.
Preferred Qualifications
- Master's degree in Education, Public Health, School Counseling, or a related field.
- 3-5 years of experience working with K-14 student populations in academic support, advising, or pathway programs.
- Familiarity with K-12 and higher education systems (UC, CSU, community colleges) and graduation/admissions requirements.
- Knowledge of youth and adolescent development, including challenges faced by firstgeneration, lowincome, and underserved students.
- Experience supporting outreach or recruitment efforts for educational programs.
- Experience using student tracking systems or databases for reporting and documentation.
- Pupil Personnel Services (PPS) Credential.
License/Certification Driver's license
