Job Summary

The Department of Medical Microbiology and Immunology is a research academic department located within the School of Medicine on the Davis Campus. Under supervision of the CAO, this position provides daily analytic support for the Department of Medical Microbiology and Immunology's Academic resource activities as the point of contact to the Central and Dean's Offices. This position manages all personnel/payroll for Academic and Student Employees and requires extensive analytical skills to keep up with everchanging School, Campus, University, Federal and State employment policies. The incumbent works in personnel/payroll systems for UCDH and UCD Campus, each with unique policy and procedure requirements and processes. (UC Path, Cognos, Ecotime, MIV, Aggie Service and Recruit). This position serves as the Timekeeper for the Biweekly and Monthly Payroll Cycles for Academic, Staff and Student Employees in Ecotime. Responsible for entering timely updates in UC Path including calculating pay lines for Faculty paid above the DHHS Cap. The incumbent manages all Academic personnel and student actions in the department. Works closely with CAO, Research and Finance Managers for budgeting all FTE salary and benefit expenses in Aggie Enterprise Planning for all funds. Manages, coordinates and updates the academic dossiers in MIV. Prepares the Annual Eligibility List for academic actions. Plans and develops an annual calendar allowing sufficient time to ensure Dean's Office deadlines are met and is the point of contact to daily, weekly, monthly ensure updates are in the payroll record of any new salary scales or updated requirements to ensure employees are paid correctly and on time. Ensures department procedures are in compliance with the Annual Call requirements from the Office of the Provost. Develops and prepares materials for Faculty, Student and Academic appointments; Academic Appraisal, Merit and Promotion dossiers for all Academic Series at the department level. Supports Faculty and Academic Search Committees. This position is designated as a confidential position.

  • Bachelor's degree or equivalent work experience or training
  • Work experience in same type of position where analysis and attention to detail were perform successfully
  • Knowledge and skills in HR practices, laws, and regulations/policies
  • Knowledge and experience to post transactions after analyzing information
  • Demonstrated ability to work independently and as a member of a team to achieve common objectives.
  • Demonstrated experience/ability to use Mathematical skills to perform payroll and general accounting calculations.
  • Demonstrated communication skills - writing and verbal.
  • Knowledge of correct spelling, grammar, and excellent proofreading skills to produce documents, memos and letters independently
  • Skill to evaluate information and recommend appropriate solutions.
  • Initiative to locate and utilize campus resources in solving complex personnel and payroll problems.
  • Ability to demonstrate initiative and exercise independent judgment.
  • Ability to perform multiple assignments, meet deadlines, and maintain a high level of productivity.
  • Experience with various computer applications: word processing, spreadsheets, email, web applications, and databases.
  • Ability to learn new computer applications as needed.
  • Critical thinking and applied problem-solving skills to research and analyze complex and/or differing information and/or problems related to all personnel activity in an objective manner.
  • Analytical, problem solving and decision-making skills to recognize problems and define issues, and ability to implement solutions.

  • B.S. or B.A. or 3+ years equivalent work experience and familiarity with Academic Personnel

Department Specific Job Scope

As a Member of the Business Team:
-Serves as the Timekeeper in Ecotime for all employees in the Biweekly and Monthly Payroll Cycles
-Lead of all actions for non-staff titles or Academic and Student titles employed in the Department
-Lead for the preparation of academic dossiers in MIV per the Academic Personnel Cycle July to June including anticipating the upcoming cycle of academic advancement by Merit or Promotion and preparing the Calendar for the anticipated Packets
-Participates in the Budget Cycle by tracking salary expenses for personnel
-Participates in the preparation of the Appendix IIs for Faculty every winter for the upcoming Fiscal Year
-Tracks all Academic and Staff employees records are correct in UC Path for personnel details, salary and payroll distributions
-Timely processes hires and corrections to the Payroll and Personnel Software UC Path by placing a Ticket in Aggie Service; timely follows up all issues to resolution
-Uses Reports from Aggie Enterprise and Cognos for all tracking
-Prepares funding entries for Graduate Students in Banner as needed
-Monthly and weekly checks the Payroll Cognos Reports to confirm expenses
-Enters Funding Updates into UC Path including calculating pay lines for Faculty paid above the DHHS Cap Monthly
-Participates in Labor Relations actions as a resource to Supervisors in conjunction with Labor Relations and the CAO
-Submits requests for Visas to SISS in iGlobal including drafting documents for signature per policy
-Lead for creating and posting Search Plans for Academic positions using Recruit
-Serves as the key custodian

Work Environment
