The Travel Coordinator is responsible for coordinating and organizing travel accommodations for healthcare professionals. This role requires someone who is comfortable communicating on the phone with clinicians, highly organized, and eager to jump in, improve processes, and keep things running smoothly. The ideal candidate is a fast learner, a go-getter, and thrives in a detail-driven, high-volume environment.
Responsibilities
Organize and manage travel requests including booking flights, hotels, rental cars, and other housing accommodations
Communicate regularly with traveling healthcare clinicians via phone and email to confirm, adjust, and resolve travel needs
Manage and prioritize multiple inboxes while maintaining organization and timely responses
Handle travel emergencies related to flights, housing, or transportation during the duration of a traveler's contract
Research and negotiate lower rates for travel and housing options
Track, organize, and reconcile travel expenses and receipts using Excel
Maintain accurate travel records and provide travel statements and itineraries
Work closely with the Accounts Payable team to ensure proper receipt submission and expense processing
Identify opportunities to improve travel processes and take initiative in implementing solutions
Perform other duties as assigned

Comfortable and confident communicating on the phone with healthcare professionals
Highly organized with the ability to manage two email inboxes efficiently
Strong attention to detail, especially with receipts, expenses, and documentation

Qualifications
High school diploma or GED required
Excel experience required
Industry experience preferred
Experience with expense tracking, receipts, or accounts payable coordination is a plus
