POSITION SUMMARY The Inventory Purchasing Coordinator supports procurement and inventory operations at Letterkenny Army Depot by managing purchasing activities, supplier communications, inventory documentation, and order fulfillment tracking in a highly regulated environment. This role requires strong administrative discipline, frequent supplier interaction, and close coordination with internal stakeholders to ensure timely receipt, accuracy, and compliance of materials and equipment. Essential Functions Statements
- Manage purchasing activities including supplier communications, request-for-quote (RFQ) follow-ups, and expediting purchase order (PO) shipments
- Process vendor acknowledgements, review required purchasing documentation, and close out purchase orders in approved purchasing systems
- Receive, receipt, and cross-dock materials; ensure accurate system entries and documentation
- Review and resolve shipping discrepancies, including coordination with vendors and internal teams
- Support internal customers by responding to inquiries related to purchasing and inventory status
- Assist buyers, storefront personnel, program managers, and other depot staff as needed
- Perform data entry, run status and inventory reports, and maintain organized purchasing records
- Conduct customer checkouts and support storefront or administrative functions as required
- Perform general administrative and purchasing support duties consistent with depot operations
POSITION QUALIFICATIONS
- Education:
- High School Diploma or GED
- Experience:
- Minimum 1 year of experience in purchasing, inventory coordination, or supply chain support
- Experience with supplier/vendor expediting, RFQs, follow-ups, and resolving shipping discrepancies
- Technical Skills:
- Proficiency in Microsoft Word and Outlook
- Ability to obtain and maintain a Secret Security Clearance
- HAZMAT trained or ability to obtain
- Experience in a military depot or government warehouse environment preferred
- Experience using purchasing or inventory management systems preferred
ADDITIONAL REQUIREMENTS
- HAZMAT training (or ability to obtain)
- Ability to work effectively in a regulated government or military depot environment
- Active Secret Security Clearance required, or ability to obtain one
- Must possess a REAL ID for access to Letterkenny Army Depot
- Strong attention to detail, organization, and follow-through
- Ability to manage multiple priorities and interact professionally with suppliers and internal stakeholders
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
- Ability to deal with problems involving a few concrete variables in standardized situations.
WORK ENVIRONMENT
- This position requires regular physical activity, including the ability to lift and move materials weighing up to 50 pounds and to walk extended distances between facilities throughout the workday.
