Salary Grade:14 Summary: The Community Engagement Specialist supports and advances Mutual Bancorp's enterprise-wide community engagement strategy across their family of banks. This role plays a critical coordination and systems leadership function in the administration, reporting and process improvement for our community engagement initiatives, including philanthropy, sponsorships, corporate leadership and volunteerism, financial education, advocacy, and Community Reinvestment Act (CRA) activities. As the operational backbone of the Community Engagement function, the Specialist works closely with the Managing Director to ensure consistent processes, accurate reporting, effective systems utilization, and seamless collaboration across the organization. The role is responsible for helping to optimize grantmaking and engagement tracking systems, develop dashboards and reporting structures, and create scalable processes that enhance efficiency and enterprise-wide visibility of impact. This position partners closely with teams from across the organization to help ensure alignment, accountability, and measurable community impact. By enhancing systems, processes, and reporting infrastructure, the Community Engagement Coordinator ensures operational excellence, regulatory readiness, and meaningful, measurable engagement throughout the enterprise. ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:
- Enterprise Community Engagement Administration
- Provide coordination and administrative support for enterprise-wide community engagement governance structures, including Steering Committees and Charitable Endowment Committees across Mutual Bancorp and our family of banks.
- Prepare meeting materials, track action items, document decisions, and ensure follow-through on committee directives.
- Conduct research on nonprofit organizations, regional needs, and strategic alignment with the organization's community priorities.
- Support cross-bank collaboration to ensure consistency in community engagement practices and reporting.
- Develop and refine documentation standards to ensure transparency, compliance, and continuity.
- Sponsorships, Grants & Donations Administration (Enterprise-Wide)
- Lead end-to-end administration of sponsorships, grants, and charitable contributions across Mutual Bancorp and our banks.
- Serve as primary administrator of our grantmaking platform (e.g., Blackbaud), ensuring accurate data entry, tracking, approvals, and reporting.
- Manage payment workflows in coordination with Accounts Payable, including vendor setup, approval verification, and secure, timely disbursement of funds.
- Monitor sponsorship benefits fulfillment and coordinate with the larger Marketing team to ensure visibility and brand alignment.
- Support tracking donations against the annual budget.
- Develop standardized workflows and documentation to ensure efficiency, consistency, and internal controls.
Systems Administration & Optimization
- Serve as system administrator and subject matter expert for community engagement and grantmaking platforms.
- Optimize system functionality to support tracking of philanthropy, employee community leadership and volunteerism, and advocacy.
- Design and implement dashboards and reporting tools that provide actionable insights for leadership.
- Support user training, adoption, and continuous improvement across departments and with external community members.
- Identify opportunities for automation, integration, and process enhancement to increase efficiency and data accuracy.
- Ensure strong data governance, cybersecurity awareness, and compliance with internal controls.
Reporting, Impact Measurement & CRA Support
- Develop and maintain reporting structures to measure and communicate community impact across all Mutual Bancorp entities.
- Prepare reports, dashboards, and presentations related to community engagement activities.
- Support enterprise-wide CRA data tracking relating to community giving.
- Analyze trends and recommend enhancements to improve impact measurement and strategic alignment.
Employee Volunteerism & Corporate Leadership Tracking
- Support the enterprise-wide tracking system for employee volunteerism and community board and committee participation.
- Suggest enhancements to existing processes to gather, document, and share participation data across all banks.
- Produce periodic reports highlighting employee engagement metrics and community leadership impact.
- Work with the communications team to share relevant Board and volunteer opportunities.
- Support internal communications that promote participation and awareness.
Strategic Programs & Enterprise Initiatives
- Coordinate large-scale annual community engagement programs (e.g., Educational Mini-Grants), ensuring effective administration, communications, documentation, and payment coordination.
- Review applications, support evaluation processes, document committee decisions, and prepare approval summaries.
- Develop clear timelines, workflows, and tracking mechanisms to ensure smooth execution.
- Partner with Communications to draft and distribute internal and external messaging aligned with brand standards.
Budgeting & Financial Coordination
- Assist in preparation and administration of community engagement budgets across entities.
- Ensure alignment between approved budgets and grantmaking system records.
- Coordinate with Accounting and external auditors to provide documentation in a timely and organized manner.
Process Development & Continuous Improvement
- Proactively evaluate and enhance community engagement processes to improve efficiency, transparency, scalability, and cross-bank consistency.
- Develop standardized operating procedures and documentation.
- Identify opportunities to streamline workflows and improve reporting accuracy.
- Support integration of future acquisitions into established community engagement systems and processes.
Cybersecurity & Risk Awareness
- Maintain strong cybersecurity awareness to protect sensitive data, systems, and client information.
- Ensure adherence to internal controls, privacy standards, and enterprise risk management practices.
Other related duties as assigned. QUALIFICATIONS:
- Associate's Degree required; Bachelor's Degree preferred.
- 1-2 years of experience in administrative coordination, nonprofit administration, banking, marketing operations, or related field preferred.
- Experience with grantmaking software or database administration strongly preferred.
- Demonstrated ability to manage systems, reporting, and data analytics.
- Strong project management skills with ability to manage multiple priorities and deadlines.
- Excellent written, verbal, and interpersonal communication skills.
- Highly detail-oriented with strong analytical and problem-solving capabilities.
