Overview
Job Summary The HR Coordinator provides high-quality operational and administrative support to the U.S. Commercial Human Resources team. This role partners closely with HR Business Partners and leaders across Sales, Marketing, Market Access, Commercial Operations, and other Commercial functions to ensure seamless execution of core HR processes. Supporting a dynamic, field-based and headquarters Commercial organization, the HR Coordinator ensures accurate and timely execution of employee lifecycle processes, recruiting coordination, contractor administration, onboarding, and employee engagement initiatives. This role serves as a trusted operational partner, delivering responsive, confidential, and detail-oriented support in a fast-paced pharmaceutical environment. Essential Functions Commercial HR Operations & Administration
- Provide day-to-day operational HR support for U.S. Commercial client groups, including field-based sales teams and headquarters-based Commercial functions.
- Prepare and process Master Agreements, Professional Service Agreements, and Contractor Work Orders in partnership with Commercial stakeholders and internal functions (e.g., Legal, Finance, Procurement).
- Maintain accurate employee and contractor data in HR systems (e.g., PeopleSoft, Applicant Tracking System), ensuring data integrity and compliance.
- Support workforce changes including new hires, transfers, promotions, reporting structure updates, and separations for Commercial teams.
- Maintain organized and audit-ready documentation in accordance with company policies and regulatory requirements.
- Assist with reporting and data requests related to headcount, contractor tracking, and other Commercial HR metrics.
Talent Acquisition & Onboarding
- Coordinate candidate interviews, phone screens, panel logistics, and travel arrangements for Commercial roles, including field-based sales positions.
- Partner with recruiters, hiring managers, and HR Business Partners to ensure seamless candidate experience.
- Administer onboarding activities for new commercial hires, including:
- System entries and documentation
- Coordination with IT and Commercial Operations for equipment and access
- Assignment of mandatory training
- Announcement communications and welcome materials
- Support high-volume hiring initiatives associated with sales expansions, product launches, or territory realignments.
Employee Programs & Engagement
- Provide first-level support for employee inquiries related to policies, processes, and HR systems, escalating complex matters as appropriate.
- Assist with coordination of Commercial HR initiatives such as engagement activities, town halls, training events, and performance cycle activities.
- Support communications and distribution of key HR updates to field and headquarters Commercial employees.
Collaboration & Continuous Improvement
- Partner with HR Business Partners to support key Commercial initiatives, including organizational changes, field expansions, and special projects.
- Identify opportunities to streamline HR processes and improve operational efficiency, particularly for field-based populations.
- Support implementation of HR policies, procedures, and system enhancements impacting the Commercial organization.
- Maintain strict confidentiality and exercise sound judgment when handling sensitive employee and business information.
Qualifications
- Bachelor's Degree or equivalent experience; or a combination of education and relevant work experience.
- Experience in Human Resources preferred.
- Experience working with HR systems (e.g., PeopleSoft, Applicant Tracking Systems) preferred.
- Strong written and verbal communication skills.
- High attention to detail and strong organizational skills.
- Ability to manage multiple priorities in a fast-paced, performance-driven Commercial environment.
- Demonstrated ability to handle confidential information with discretion.
- Customer-service mindset with the ability to build strong working relationships across levels of the organization.
