Department:Asst Dean ResearchDepartment's Website: Summary of Job Duties:*Coordinating programs and projects for Dean of Research/Associate Research Director.*Assist in evaluations of the Agricultural Research Office reviews pertaining to grantsmanship. *Coordinates with the Director/Dean of Research to identify opportunities to improve research policies, procedures, and protocols. *Preparing and reviewing operational reports and effectively guiding Evans-Allen Researchers. *Ability to act as a gatekeeper and escalate relevant information to the Director/Dean of Research. *Has the ability to supervise personnel (Senior Research Assistant, Graduate, and Undergraduate students) within the Agricultural Research Office of the Dean of Research /Associate Research Director. *Answered incoming phone calls politely and professionally and accurately took messages. *Coordinate travel arrangements (both domestic and international) and create trip itineraries. *Exceptional attention to detail, ability to multitask, and accurate meeting minutes. *Maintain comprehensive and accurate records, documents, and reports pertaining to Evans-Allen Research, Capacity Building Grants funding, and other research opportunities. *Organize meetings, including scheduling, sending reminders, and organizing catering when necessary. *Use various software, including word processing, spreadsheets, and presentation software, to assist in preparing reports and/or special projects. *Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on behalf of the Dean of Research. *Welcome visitors to the Agricultural Research Office and identify the purpose of their visit before directing them to the appropriate personnel. *Manages the Dean of Research's day-to-day calendar, including making appointments and prioritizing the most sensitive matters. *Must be knowledgeable and know how to work the existing operating system (Workday) at the University of Arkansas at Pine Bluff. *Has the ability to train other administrative assistants/associates on Workday operating systems to assist their individual area and/or faculty and/or staff with completing documents online. *Knowledge of state and federal laws, rules, and regulations pertaining to the administrative/business management activities of 1890 Research *Knowledge of governmental fiscal policies, practices, and procedures. *Ability to plan, organize, direct administrative, support activities and staff. *Ability to establish and maintain effective working relationships. Ability to communicate effectively. *Must be able to work independently and keep all sensitive documents/information with discretion. *Must be able to assume responsibility under minimum supervision, exercise initiative, and judgment, and make sound decisions within the scope of assigned authority; must maintain a good working relationship with people. Must be able to relate to culturally diverse employees and their constituents. *Coordinate MANRRS events, including registration, travel logistics, detailed itineraries, and ongoing communication with MANRRS National leadership. *Maintain current annual memberships for the Association of 1890 Research Directors and MANRRS, ensuring compliance and timely renewals. *Assisting with administrative duties for each USDA/APHIS - Ag Discovery Program hosted at the University of Arkansas at Pine Bluff. Work alongside the Director and Coordinator of the Ag Discovery Program. Communicate all updates to the Director of Ag Discovery. *Directly communicate relevant information regarding budgets with grant accountants and the Director of Research. *Assisting faculty with preparing their student researcher for all 1890 Association of Research Directors Symposiums. Provides student researchers with the proper tools prior to competing and presenting with other 1890 students during symposiums. *Provides all relevant notes on behalf of the Director of Research when attending training, meetings, or conferences. Qualifications: Bachelor's degree is required, although a master's degree is preferred in a business-related or SAFHS field (or equivalent experience). Other job-related education and/or experience may be substituted for all or part of these basic requirements upon approval of the Search Committee. Additionally, certifications, such as the IAAP Certified Administrative Professional (CAP) or completed coursework on administrative and HR software, are also recommended. Professional Experience: Three to five years of experience in high level office work, preferably under the supervision of a Dean, Director and/or Senior Leadership.
