The Opportunity

The Admissions Administrative and Processing Assistant (AAPA) supports graduate admissions operations for a suite of specialized master's programs enrolling more than 600 students annually. This role manages application processing, coordinates communications, and serves as a key point of contact for prospective students and internal stakeholders.

The AAPA oversees multiple admissions inboxes, responds to inquiries, and facilitates communication between prospective students and campus partners, including Student Services, the Graduate Admissions team, and the Office of Global Learning. Representing graduate admissions to applicants, families, program directors, and university staff, the AAPA also contributes to improving the efficiency and effectiveness of application intake and processing.

Key Responsibilities

  • Manage admissions email inboxes and respond to inquiries from prospective students, staff, and university offices
  • Serve as a liaison between prospective students and internal teams, including Admissions Program Leads and Student Services
  • Process applications for specialized master's programs, including preparing and sending admissions decisions (admit, deny, waitlist, postpone)
  • Track incomplete applications and assist with document processing, including uploading standardized test scores and managing test waiver requests
  • Administer scholarship processing for specialized master's programs and coordinate with Financial Aid and the Graduate School as needed
  • Maintain and update admissions procedures, policies, and data related to graduate programs
  • Ensure compliance with application processing timelines, notification deadlines, and enrollment (yield) goals
  • Provide data support by responding to internal and external requests for application and enrollment data
  • Assist with additional initiatives and events, including on-campus visit programs

This is a full-time (40 hours/week), three-year term endowed position based in Ithaca, NY, with the possibility of extension. This position follows a hybrid work arrangement, allowing for remote work; however, the candidate must be able to come to campus as needed, which may be frequent during certain times of the year. This hybrid work arrangement is subject to change at any time. Typical work hours are 8:00am to 4:30pm Monday through Friday.

  • Considerable independent judgement, decision making, and a high level of confidentiality
  • Strong computer skills
  • Experience incorporating the perspectives of multiple communities.
