Job Summary

This role is responsible for executing multiple tasks within the prereview process, including reviewing mortgage documents, identifying and accurately entering required data into the workflow system, and managing PDF files using Adobe Acrobat (editing, bookmarking, unlocking, and routing to appropriate folders). Additional responsibilities include hardcopy and digital document extraction, redaction, retrieval of files from client portals, tracking, organizing, and transferring files to operations drives.

This position is classified as a Transactional Employee (TE). Transactional Employees are assigned to work on an "as needed" or project basis. The variable nature of the transactional role cannot guarantee a 40-hour work week. Transactional employees are typically designated to work on a deal or a particular client assignment. At times, work may be reduced, and there may be occasional periods of no work. Efforts will be made to assign work, but work is entirely dependent on client needs.

Essential Functions

  • Accurately enter client and loan data from source documents into proprietary systems while meeting established production and quality standards.

  • Compile, verify, and organize information to ensure source data is complete and ready for system entry.

  • Review data for errors, omissions, or inconsistencies; correct discrepancies and validate final output.

  • Review existing PDF bookmarks for accuracy to ensure documents meet company identification standards, adding or removing bookmarks as necessary.

  • Route and store files in the appropriate locations within the company's network.

  • Navigate client portal sites to retrieve required documents and upload them to designated internal file paths.

  • Unlock, combine, and manage PDF files as required.

  • Perform document extractions and redactions in accordance with company guidelines.

  • Perform other related duties as assigned.

Essential Knowledge, Skills, and Abilities

  • Proficient knowledge ofAdobe PDF and Microsoft Office Suite, including Word, Excel, and PowerPoint.

  • Proficient in basic computer and administrative functions, with fast, accurate typing skills and strong attention to detail, including proper spelling, grammar, and punctuation.

  • Strong communication skills, both verbal and written, with the ability to interact effectively across all levels of the organization.

  • Technical proficiency inLoan Level Bookmarking, File Combining, Document Extraction, Redaction, and Unlocking PDF Files.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Strong organizational skills with attention to detail and the ability to manage multiple priorities.

  • Commitment and ability to cultivate a diverse and inclusive work environment.

Education

  • High School diploma or equivalent.

  • Bachelor's degree preferred.

Experience

  • 1+ years of relevant industry experience preferred.

  • 1+ years' experience with mortgage documents preferred.

  • 1+ years' experience conducting data input.

  • Additional computer training or certification preferred.

  • Experience with Adobe PDF and Microsoft Office Suite required.

Working Conditions

This is a remote position. Employees are expected to maintain a dedicated and professional workspace that supports productivity and confidentiality. This role requires reliable internet access and the ability to be on camera to participate in virtual meetings and communications during standard business hours. Work is primarily performed in a home office environment. Flexible work hours may be available, though employees must be able to collaborate effectively across time zones and attend scheduled meetings during core business hours. May require extended periods of computer use and sitting. Occasional travel or in-person meetings may be required based on business needs. Occasional overtime, weekend shifts, or holiday work may be required based on operational needs. Employees must adhere to company policies regarding data security, time tracking, and virtual collaboration.

Physical Demands and Activities

While performing the duties of this job, the employee is frequently required to communicate. The employee is regularly required to stand, walk, sit, and constantly operate a computer and other office equipment using hands and fingers for fine manipulation, including keyboarding and mouse use. The employee must occasionally lift, carry, push, pull, or otherwise move objects, such as files and small parcels and/or move boxes weighing up to 15 lbs. Prolonged periods of sitting or standing may be required depending on the nature of the work. Specific vision abilities required by this job include close vision, distance vision, and the ability to observe objects at close range in presence of glare or bright lighting (e.g. computer screen).
