Position Highlights The Department of Neuroscience seeks an Administrative Support Professional I to join its administrative team. This position provides day-to-day administrative and operational support for departmental activities, with responsibilities that include support of faculty affairs, calendaring, meeting and event coordination, communications support, document preparation, travel coordination, and assistance with other faculty-facing processes. The successful candidate will be highly organized, detail oriented, and able to manage multiple priorities in a collaborative academic environment.

This position also supports department communications and faculty success initiatives by assisting, maintaining and updating department website content, and providing administrative support for faculty development activities and faculty awards processes. Strong written communication skills, sound judgment, initiative, and the ability to work effectively with faculty, staff, students, and external partners are essential.

The Department of Neuroscience at the University of Arizona is dedicated to advancing education and research on the structure, function, and disorders of the nervous system across a wide range of disciplines. This position may be eligible for a hybrid work assignment in conversation with the supervisor. Visa sponsorship is not available for this position.

Duties & Responsibilities
  • Execute daily operational and administrative tasks in support of the Department Head and departmental objectives, including calendaring, scheduling and event coordination.
  • Schedule and coordinate meetings, events, and logistics, including room reservations, preparation of materials, agendas, and follow-up communications.
  • Provide routine administrative support for department leadership, faculty, and administrative operations.
  • Facilitate effective communication within the department and with university colleagues, students, and external partners by responding to or routing inquiries and providing routine information.
  • Prepare, format, proofread, and distribute correspondence, reports, presentations, newsletters, and other departmental documents, ensuring accuracy and compliance with university standards.
  • Assist in assembling and distributing the department's quarterly newsletter, including gathering content, drafting or formatting announcements, coordinating deadlines, and ensuring polished final materials.
  • Maintain and update department website content to keep information current, accurate, and aligned with departmental priorities. Maintains and manages departmental listservs.
  • Assist with reimbursements, travel documentation, and invoice processing in accordance with university policies and procedures.
  • Coordinate business travel arrangements and related administrative processes for faculty, staff, students, and invited guests, as needed.
  • Assist with logistics and administrative support for departmental seminars, and special events.
  • Supports the faculty annual review process as well as the promotion & tenure cycle and dossier review and submission.
  • Serves as the UA Faculty Portfolio system lead. Coordinates with College Faculty Affairs team.
  • Provide administrative support for faculty awards and recognition processes, including tracking deadlines, compiling materials, formatting nomination documents, and coordinating submissions.
  • Contribute to team goals and provide general office support to help ensure successful completion of departmental projects and responsibilities.
  • Facilitates on-boarding/orientation of new employees, including issuing keys & setting up required training.

Knowledge, Skills & Abilities

  • Proficiency with Microsoft Office Suite particularly Word, Excel & PowerPoint
  • Proficiency with Zoom
  • Understanding of UA Faculty Portfolio (formerly UAVitae)
  • Understanding of UA Travel & Reimbursement policies
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Ability to manage multiple assignments and meet deadlines in a fast-paced environment.
  • Ability to follow established policies and procedures while exercising sound judgment.
  • Ability to work collaboratively with faculty, staff, students, and university partners.
  • Ability to learn university systems related to travel, reimbursements, purchasing, website maintenance, and faculty support processes.
  • Basic ability to prepare, edit, and maintain professional communications and web content.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience is required.

  • Experience providing administrative support in a university, academic, or research environment.
  • Experience coordinating meetings, events, travel, or office operations.
  • Experience preparing newsletters, maintaining web content, or supporting department communications.
  • Experience supporting faculty affairs, faculty development, awards, or related academic administrative processes.
