- We are seeking a highly experienced Workfront-focused operations professional to partner closely with leadership in standing up and optimizing program and project intake, governance, and resource planning within Adobe Workfront. This role is consultative in nature and requires both strong technical depth and the ability to operate effectively in ambiguity. This is not a generic project manager or Workfront admin. This is a strategic operations role that requires both deep Workfront expertise and the ability to think about how data structures support business decisions.
- The person will work embedded on a small, fast-moving team that supports senior leadership in a Fortune 100 financial services company. They need to be comfortable with ambiguity, high expectations, and fast turnarounds.
- The team currently has 3 members and is actively scaling. The team operates across strategic planning, program delivery, employee engagement, and operational governance for the department. This person would sit with the manager assisting in building operations to enable the group.
Role Overview
The Experience & Digital Marketing's Business Planning team's scope has significantly expanded - from primarily mobilizing and managing cross-functional programs to now driving strategic planning, governance, synthesis, and operations across the department. This expanded scope has created a critical need for operational infrastructure that the team currently does not have dedicated support for.
The team recently transitioned to Adobe Workfront as the department's primary project management tool. The business plan, OKR framework, program portfolios, and resource capacity all need to be structured, maintained, and optimized within Workfront - and that work needs a dedicated owner. Without it, business plan reporting is manual, resource visibility is limited, and the Head of Business Planning spends significant time on operational infrastructure rather than strategic synthesis and mobilization work.
This role creates that dedicated owner. The right person will take the operational backbone of Business Planning and build it into a sustainable, well-governed system that the entire team and department can rely on.
What this role does:
The Business Planning Operations & Workfront Specialist owns the planning infrastructure that makes everything else run. This is not a project management role and not a data entry role - it is a strategic operations role that requires both hands-on Workfront execution and thought leadership on how to structure and leverage the platform for business planning at an enterprise level. This will consist of 80% work in Adobe Workfront and 20% AI and solutioning for the team.
Workfront governance & optimization
- Own the structure, organization, and ongoing governance of Workfront as the Business Planning team's primary planning and tracking tool.
- Intake, enter, and organize business plan data, OKRs, programs, projects, and key milestones within Workfront - ensuring data is accurate, current, and structured for reporting.
- Build and maintain tagging conventions, folder structures, project templates, and naming standards that make Workfront usable and scalable across the team and department.
- Advise on best practices for structuring and leveraging Workfront data to support business objectives, reporting needs, and leadership visibility.
Business plan reporting & OKR (Objectives and Key Result) tracking
- Build and maintain reporting dashboards that give the Head of Business Planning and department leadership a clear view of business plan health, OKR progress, program status, and resource allocation.
- Translate the E&DM business plan structure into actionable Workfront projects, tasks, and milestones that can be tracked and reported against.
- Explore high level resource capacity methodology and solutions for future state implementation.
Process improvement & AI integration
- Identify opportunities to streamline and automate recurring operational tasks within Workfront and across the team's planning processes (including outside of Adobe Workfront).
- Develop and implement repeatable AI-powered use cases that reduce manual overhead - for example, automated status report generation, data summarization, or capacity forecasting using tools such as Copilot, Claude, or ChatGPT.
- Act as a thought partner to leadership on how AI can be embedded into Business Planning operations to improve speed, accuracy, and scalability.
- Document processes, playbooks, and best practices so that operational knowledge is systematized rather than held in any one person's head.
The right person for this role will demonstrate:
- Workfront depth. They don't just know how to use Workfront - they know how to architect it. They've set up enterprise-level project structures, built reporting dashboards, established governance standards, and trained teams on adoption. They have opinions on how data should be organized and can defend them.
- Operational rigor with strategic instinct. They can do the hands-on data entry and maintenance, but they also see the bigger picture. They ask "what decision does this report need to support?" before building it. They think in systems, not just tasks.
- Speed and quality. The team operates in a fast-paced environment with high expectations. This person delivers clean, accurate work quickly and iterates efficiently when direction changes.
- Proactive communication. They surface what's working and what isn't without being asked. They flag when data is stale, when a process isn't being followed, or when they see an opportunity to improve something. They manage-up naturally and can take directions from others well.
- AI fluency. They're not just aware of AI tools - they're actively using them. They can identify repeatable use cases, build simple automations, and help the team see where AI can reduce manual work.
- Low ego, high ownership. They're comfortable being the person who makes the infrastructure work so that everyone else can focus on programs and strategy. They take pride in the system running smoothly, not in being visible.
Must Have Qualifications
- 5+ years of experience in strategic marketing/business planning operations, PMO operations, or project/portfolio management or a simliar field.
- Strong, hands-on experience with Adobe Workfront
- Experience translating business plans, goals, or strategic frameworks into actionable project structures within Adobe Workfront.
- Demonstrated ability to build reporting and capacity dashboards that support executive-level decision-making.
- Experience with AI tools (Copilot, ChatGPT, Claude, or similar) and a track record of developing repeatable business use cases or automations.
- Strong communication and collaboration skills; ability to work as a thought partner with senior leaders, not just as a task executor.
- Bachelor's degree or equivalent work experience.
Preferred Skills
- Conversion to FTE: Initially through the end of Sept, with a high likelihood of extension based on performance.
- Experience in financial services, insurance, or similarly large and complex organizations is a plus but not required.
