This position supports the College of Nursing's Office of Research Facilitation (ORF) which oversees the research enterprise. Position requires the shared responsibility of providing comprehensive and effective grant management across the College of Nursing (CON) from a range of funders including both federal and non-federal funding sources (i.e., NIH, DHHS, PCORI, internal awards etc.). The Grants and Contracts Associate works closely with the Director of Office of Research Facilitation and the Associate Dean for Research to provide seamless and efficient support from grant development through grant award and will participate in all operations. The position requires independent decision-making authority, managerial and policy responsibilities, and frequent action in the Director's stead.

Duties & Responsibilities:
  • Provides advice and expertise to departments within the College of Nursing and to other colleges. Advises principal investigators (PIs) and business managers on grant proposals and research protocol. Identifies and offers solutions to concerns that may affect proposal eligibility.
  • Assists in the coordination of large, complex institutional proposals and oversees proposal submissions, including international, multidisciplinary, and/or interdisciplinary research proposals.
  • Provides guidance and oversight for CON PIs for the duration of the research lifecycle and interprets ORF research policies for compliance and standard operating procedures. Serves as liaison to the Office of the Vice Chancellor for Research and its respective units (i.e. pre award, post award, protection of human subjects, etc.).
  • Develops budgets for faculty grant applications including for research, education, and practice initiatives. Acts as an intermediary between PIs and the Office of Sponsored Projects. Works with outside institutions as part of the award subcontracting process, when applicable.
  • Participates in the planning, implementation and administration of internal grants.
  • Assists in developing and implementing short- and long-range strategies to grow the CON research enterprise based on the College's strategic research vision.
  • Reviews request for funding applications and communicates with grant management specialists across internal and external agencies to meet application requirements.
  • Interprets governmental agency and non-profit organization policies for funding opportunity announcements.
  • Manage requests for no-cost extensions, progress reports, prior approval, and grant closeouts.
  • Assumes primary responsibility for initiating new awards in the financial and HR systems. Assist with modifications throughout the lifecycle of the award.
  • Coordinate and complete documentation for Just-In-Time submissions.
  • Coordinate and complete subcontracts, consulting agreements and other contractual services at initiation of award.
  • Assist with amendments and modifications throughout lifecycle.
  • Manage requests for no-cost extensions, progress reports, prior approval, and grant closeouts.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree in business administration, accounting, finance, economics or a field related to the position


Preferred Qualifications:
  • Bachelors degree, with a minimum of two years experience in pre-award research administration within an academic environment.
  • Thorough knowledge of federal regulations and guidelines that govern the conduct of research such as the OMB Uniform Guidance: Cost, Principles, Audit, and Administrative Requirements for Federal Awards.
  • Familiarity with enterprise administrative systems.
  • Masters preferred.
  • Certification as a Certified Research Administrator or Certification in Project Management preferred.
  • Knowledge of institutional policies and practices strongly preferred, e.g. compliance, hiring.
  • Knowledge of NIH forms and instructions strongly preferred.
  • Familiarity with University of Illinois administrative information systems (i.e., Banner, MyProposals, Kuali, etc) preferred.
  • Effective communication skills with an ability to provide consistently high levels of customer service under pressure, working efficiently in a deadline-driven environment. with fluctuating workloads.
  • Ability to exercise discretion and independent judgement involving complex tasks with a demonstrated ability to work as a team player, resolve conflicts, remove obstacles, and appropriately escalate issues when needed.
