The Fleet Administrative Assistant provides advanced administrative and operational support to the Corporate Fleet department. Under general supervision, this role is responsible for maintaining highly accurate fleet records, coordinating lifecycle activities for vehicles and equipment, and supporting compliance with all applicable local, state, and federal regulations. The position requires strong attention to detail, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment supporting a fleet of over 3,000 assets.

Shift: 7:00am - 5:00pm M-F

Responsibilities of Position:



  • Maintain accurate and up-to-date physical and electronic records for fleet vehicles and equipment, ensuring data integrity and regulatory compliance
  • Coordinate the setup, transfer, reassignment, and disposal of fleet vehicles and equipment throughout their lifecycle
  • Support the Fleet Manager and Fleet Supervisor with reporting, documentation, and administrative processes related to fleet operations
  • Partner with fleet team members to compile internal reports and assist in the development and maintenance of standard operating procedures (SOPs)
  • Serve as a point of contact for managers and employees, responding to fleet-related inquiries and facilitating issue resolution through effective communication
  • Ensure all job duties are performed in accordance with company policies and applicable local, state, and federal regulations
  • Assist with internal and external audits related to fleet vehicles, equipment, and associated documentation
  • Identify opportunities for process improvements to enhance accuracy, efficiency, and compliance within fleet administrative functions
  • Perform other duties as assigned



Supervisory Responsibility:



  • This position will not manage employees



Skills & Abilities Needed for Position:



  • Strong administrative, organizational, and documentation skills with a high level of attention to detail
  • Ability to manage multiple tasks and deadlines while maintaining accuracy
  • Effective written and verbal communication skills
  • Proficiency in electronic record-keeping systems and standard office software
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency in Microsoft Office products



Experience & Knowledge Needed for Position:



  • Experience supporting fleet, asset management, or compliance-driven environments preferred



Physical Requirements in a Regular Workday:



  • Frequently lifting/carrying/pushing/pulling a max of 10 lbs
  • Rarely lifting/carrying/pushing/pulling a max of 20 lbs
  • Continuously sitting
  • Occasionally standing/walking



Additional Working Conditions/Aspects:



  • Legally eligible to work in the United States
  • Valid driver's license (if applicable)
  • Must successfully complete pre-employment testing
  • Must be able to read and speak the English language
