Position Overview
The Practicum Education Coordinator provides administrative, operational, technology, and community partnership support for the Social Welfare Practicum Office. The position works closely with Associate Directors of Practicum Education to support social work practicum planning, agency development, onboarding, placement operations, data management, and practicum programming. The position serves as a primary operational contact for MSW and BSW students, practicum instructors, and community partners.
The position reports to the Director of Practicum Education and is based on the Lawrence campus or remotely, at the discretion of the Director of Practicum Education and the Dean.

Periodic travel may be required to meet with students, practicum instructors, community partners, and attend professional meetings or conferences.

Because of fluctuations in student enrollment and other operational demands, flexibility in work assignments is required. The specific balance of responsibilities may vary from year to year based on program needs. Extensive communication and collaboration with students, community partner personnel, practicum instructors, practicum liaisons, and other School staff are essential functions of this position.

Assignment Flexibility
The percentages assigned to each responsibility area are estimates intended to describe the general scope of the position. Actual assignments may vary based on enrollment trends, staffing levels, student needs, program priorities, accreditation requirements, and operational demands of the Practicum Office. Duties may be reassigned or redistributed by the Director of Practicum Education as needed to support the mission and functioning of the School of Social Welfare.

Job Description
50% - Practicum Operations and Community Partnership Development
  • Research, identify, and initiate relationships with prospective practicum partners.
  • Support practicum site recruitment, onboarding, retention, and engagement efforts.
  • Coordinate affiliation agreement development, routing, tracking, renewal, and record maintenance.
  • Maintain community partner records, practicum opportunities, and practicum instructor information.
  • Enter practicum opportunities into the practicum planning software.
  • Coordinate routine practicum partner communications and recognition activities.
  • Support Associate Directors with practicum planning and placement coordination.
20% - Technology Systems, Data Management, and Process Improvement
  • Serve as a primary administrator for practicum management software and related systems.
  • Maintain student, agency, practicum instructor, liaison, and placement records.
  • Develop and maintain forms, workflows, reports, and data management processes.
  • Provide technical support to students, agencies, practicum instructors, and staff.
  • Participate in maintaining practicum-related Canvas, Qualtrics, website, and other technology resources.
20% - Student and Program Support
  • Coordinate student practicum onboarding requirements and monitor completion (e.g. medical record submission, background screens, etc.).
  • Manage practicum office seminars, orientation, and CEU event logistics, communications, registration, and evaluations.
  • Assist with assessment, accreditation, and reporting activities.
10%- Other Practicum Office and School related duties as assigned

Position Requirements
This position has the possibility of being hybrid or remote. Due to complex state employment laws, the University of Kansas may be unable to hire fully remote workers for this position outside of Kansas. Specifically, we cannot currently offer employment to candidates residing in the following states: California, Delaware, Idaho, and Minnesota. Required Qualifications
  1. Bachelor's degree or [minimum of] three years' experience in [higher education] experiential learning and technology.
  2. Experience managing databases, information systems, or complex recordkeeping processes.
  3. Experience in customer service or student support.
  4. Effective written and communication skills, as evidenced by application materials.

Preferred Qualifications
  1. Experience working in higher education.
  2. Experience coordinating projects, events, or administrative operations.
  3. Experience supporting practicum, internship, or experiential learning programs.
  4. Experience with affiliation agreements, contracts, compliance processes, or partnership management.
  5. Experience researching, identifying, and developing community partnerships.
  6. Experience with Canvas, Qualtrics, Microsoft Office, and related software platforms.
