Our Phoenix office is looking for a Full-time in office Administrative Assistant to join our team! The Medical Administrative Assistant provides comprehensive administrative and foundational clinical support to the department and leadership team to ensure efficient, compliant, and safe organization operations. This role balances traditional clerical, reception, and scheduling duties with patient-facing tasks, clinical workflow coordination, and medical environment maintenance.
ESSENTIAL JOB FUNCTIONS
- Greet visitors and direct them appropriately.
- Answer multiple phone lines in a professional manner; screen calls to identify urgent medical inquiries or routine administrative matters, and route them accurately.
- Deliver incoming faxes, mail and/or packages to the appropriate person upon receipt and process outgoing mail daily.
- Organize and coordinate meetings, conferences and travel arrangements as needed.
- Prepare and modify documents including correspondence, reports, drafts, memos and emails.
- Perform clerical duties such as typing, filing, and proofreading as required.
- Assist with the set-up, maintenance, and cleanliness of physical exam rooms.
- Maintain office inventory and place supply orders when needed.
- Oversee the cleanliness of the office and report any issues or repairs needed to management.
- Maintain, archive, and retrieve electronic health records (EHR) and hard-copy documents in compliance with data-retention policies.
- Help to resolve customer concerns and issues and work closely with co-workers to ensure the highest level of customer service and satisfaction is achieved.
- Promote effective and efficient utilization of office resources and supplies.
- Support staff in assigned project based work.
- Participate in various educational and or training activities as required.
- Perform various duties as assigned.
MINIMUM REQUIRED QUALIFICATIONS Education and/or Experience High school diploma or equivalent required. A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred. QUALIFICATIONS
- Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
- Foundational understanding of basic medical terminology, patient privacy standards, and basic clinical hygiene practices.
- Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, PowerPoint and the Internet.
- Minimum of 1-2 years of experience working in a medical office, clinic, hospital, or occupational health setting.
- Must be a qualified typist with a minimum of 45 W.P.M
- Ability to follow instructions and respond to managements' directions accurately and efficiently.
- Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
- Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
- Must be able to work independently with minimal supervision, prioritize work activities and use time efficiently.
