Job Summary/Overview

The Executive Business Partner will be responsible to ensure the smooth and efficient administrative support to the assigned leaders. Responsibilities will be broad and changeable in nature ranging from coordinating or leading special projects, arranging conferences through to preparing presentations.

Essential Duties and Responsibilities

  • Performs highly skilled administrative duties.
  • Manage schedules for executive staff to include multiple complex calendars and scheduling requirements.
  • Performs administrative support functions such as coordinating travel, scheduling and planning meetings and conferences.
  • Maintains confidential records, administers programs such as Concur.
  • Exercises judgment and discretion in the administration of business/function programs and special projects.
  • Manage expenses and office purchases with P-Card.
  • Event planning for small and large groups including scheduling, collaborating with other departments ordering food and supplies, and preparing agendas and assembling materials.
  • Create meeting calendar, reserving conference rooms and send notices for all team meetings, etc. using WebEx.
  • Perform all scheduling/administration for local/domestic and international trips, visas, passport renewals and security.
  • Communicate clearly and effectively both orally and in writing. Understand and follow written and oral instructions. Prepare clear, accurate, and concise records and reports.
  • Establish and maintain effective working relationships with staff, customers, and others encountered in the course of work.
  • Respond to inquiries, and when appropriate, take action on the Executive's behalf.
  • Maintain office supplies and breakroom inventory. Determine inventory level; anticipating needed supplies; evaluating new office products; placing, and expediting orders for supplies; verifying receipt of supplies.
  • Must maintain strict confidentiality at all times.
  • Perform other duties as assigned.

Required Qualifications

  • Bachelor's degree (B. A.) from four-year college or university preferred
  • 2+ years of administrative experience supporting C Level Executives
  • Knowledge of technical products and user applications
  • Must be highly proficient in Microsoft Office applications and possess strong organizational and communication skills.
