Your Job The Office Manager leads and coordinates the administrative operations of the Dothan office, creating an organized, efficient, compliant, and welcoming workplace. This role owns office processes, employee and visitor support, vendor relationships, workplace services, meetings, communications, records, and administrative financial activities. The successful candidate will:

Our Team The Dothan office supports multiple business functions and teams that depend on effective coordination, reliable administrative processes, and a productive workplace environment. The Office Manager collaborates with employees, leaders, vendors, facilities partners, and support functions to keep the office operating safely and efficiently. What You Will Do
- Coordinate day-to-day office operations, serving as a primary point of contact for employees, visitors, vendors, and workplace needs while maintaining a professional, organized, and welcoming environment.
- Manage office administration, including communications, calendars, conference rooms, records, document management, mail, shipping, and shared resources, while handling sensitive information with discretion.
- Support employee onboarding and workforce administration activities, including workspace readiness, office access, supplies, interview logistics, onboarding documentation, and other authorized administrative processes.
- Coordinate facility, equipment, maintenance, safety, security, and workplace-readiness activities, including vendor engagement, workplace inspections, required postings, emergency preparedness, safety training, and resolution of facility-related issues.
- Maintain office, meeting, breakroom, safety, and emergency inventories and coordinate workspace assignments, ergonomic accommodations, and shared-office resources.
- Manage purchasing, expense, and vendor-related activities, including procurement of office supplies and services, invoice review, recordkeeping, contract administration, discrepancy resolution, and identification of cost-saving opportunities.
- Coordinate meetings, training sessions, leadership visits, employee events, and workplace activities by arranging space, technology, materials, refreshments, communications, and logistical support.
- Prepare and maintain business correspondence, reports, presentations, spreadsheets, procedures, calendars, and other documentation to support effective business operations.
- Provide administrative support to leadership and business teams by coordinating projects, tracking commitments and deadlines, and providing backup coverage during periods of absence or increased workload.
- Evaluate and improve administrative and workplace processes through the development of procedures, checklists, and workflows that enhance efficiency, service, communication, and stewardship of company resources.
- Utilize Microsoft 365 and approved business systems to support communication, organization, reporting, and workflow management.
- Perform assigned accounting and business-support functions, including backup support for recurring accounting activities, WFS settlement processes, accounts payable and vendor research, accounts receivable inquiries, payment application research, customer account support, and order-entry activities for the GPR team.
Who You Are
- Experience in office management, business administration, facilities coordination, workplace services, or a related administrative role.
- Experience coordinating multiple priorities, deadlines, vendors, and stakeholders with limited supervision.
- Experience using Microsoft Office or Microsoft 365 applications, including Outlook, Word, Excel, Teams, and PowerPoint.
- Experience maintaining business records and handling confidential or sensitive information.
- Experience communicating at all levels of an organization
- Ability to work on-site in Dothan, Alabama.
What Will Put You Ahead
- Five or more years of progressively responsible office-management or administrative experience.
- Experience supporting a multi-functional, industrial, financial, hospitality, or multi-location workplace.
- Experience with purchasing, invoice coordination, expense tracking, or vendor administration.
- Experience coordinating meetings, employee events, office safety activities, onboarding, or facilities services.
- Experience developing standard operating procedures, checklists, dashboards, or recurring administrative calendars.
- Experience applying digital tools, automation, or AI-enabled solutions to improve administrative workflows.
- Bookkeeping, accounts-payable, reconciliation, or human resources experience.
