SUMMARY

Perform necessary Legal and Clerical assistance to Attorneys and the Public for the processing of all Orphans Court and Adoption and Special Sealed proceedings. First back up for Orphans' Court Supervisor and liaison for IT and efiling systems in Orphans' Court.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform necessary Legal and Clerical assistance to Judges, Attorneys and the Public;

  • Process legal documents immediately through data entry ;

  • Offer customer service to customers on a walk-in basis ;

  • Answer phone calls;

  • File documents accordingly;

  • Back up Asst. Clerk in pulling files for Judges' upcoming hearings;

  • Certify and Seal all documents provided by the court;

  • Filing, processing, and preparation of the Audit List;

  • Attending the Audit Hearing if requested;

  • Process all Adoption paperwork through mail/ over the counter;

  • Advise Attorneys/ Pro Se filers to utilize Montgomery County forms;

  • Make sure that all forms, petitions and decrees conform to the Adoption Act;

  • Assist in the development of all Adoption forms/ procedures;

  • Maintain confidentiality in all cases;

  • Schedule all Termination of Parental Rights/ Finalization hearings;

  • Give ample time for giving notice to all parties regarding Termination proceedings;

  • Review/ Screen all paperwork for errors;

  • Send all birth parents a Disclosure Packet informing them of their right to file personal information

  • al Decrees, Orders, Requests signed by the Judges and give notice immediately upon receipt if required;

  • Process all Final Decrees, Orders, Requests signed by the Judges and give notice immediately upon receipt if required;

  • Send all required paperwork to Vital Records regarding the changes on Birth Certificates;

  • Certify and Seal all Final Decrees;

  • Attend all Termination of Parental Rights/ Finalization of Adoption Hearings;

  • Assist Judges' in court with filings and other tasks upon request;

  • Process Appeals to Superior Court;

  • Provide Judges with the appropriate files/ lists for upcoming hearings;

  • Attend/ Participate in all development/ implementation meetings regarding efiling system;

  • Offer assistance with efiling questions to efilers;

  • Other responsibilities that may be assigned, including cross training in other sections.


QUALIFICATION REQUIREMENTS

  • High School Diploma;
  • 5 Years Related Experience;
  • Must have knowledge of Local Rules of Orphans' Court Procedure;
  • Must have knowledge of Montgomery County Software systems;
  • Ability to work with employees, public, attorneys, judges' staff, other court and county offices;
  • Must be able to operate the following equipment:
    1. Computer/Printer;
    2. Telephone;
    3. Xerox Copier;
    4. Fax;
    5. Microfilm Reader/Printer.
